Admissions Coordinator- Chapel Hill Community

Chapel Hill Community The Admissions Coordinator is responsible for planning, organizing, developing and directing a program to build and develop quality community occupancy in accordance with Federal, State and local standards, guidelines and regulations which govern the community.

Essential Functions Statement(s)

  • Handles walk-in or telephone inquiries and invites referral source to community
  • Follows-up on inquiries by conducting tours of the community, completing inquiry forms for admission paperwork, and providing all inquiries with brochures about community Medicare facts and room rates
  • Gathers nursing information from outside social worker and floor nurse at hospital
  • Utilizes sales skills and persuasive techniques to obtain desired admissions
  • Keeps an inquiry log
  • Uses formal waiting list policy and keeps future reservations for residents
  • Reviews a list of unoccupied beds and makes preadmission reservations according to type of case and accommodation required
  • Use formal application to screen residents financially, as appropriate
  • May visit or coordinate visit to prospective residents in the hospital or home and makes assessment regarding his/her suitability for admission
  • Contacts insurance companies to determine or verify coverage
  • Meets with all residents and/or families prior to admission to sign paper work when possible
  • Records information identifying physician and patient, type of accommodation required, insurance coverage and date of admission
  • As appropriate, explains differences in rates/charges to residents desiring changes of accommodations, and arranges for the change
  • Explains services and policy regarding payment of bills
  • Counsels families regarding limited liability treatment policy and legal surrogate
  • Gives families a list of all department leaders and a resident handbook, and interprets community regulations to resident concerning visitors, visiting hours, and disposition of clothing and valuables
  • Notifies particular wing to expect resident and arranges for escort to room
  • Assists with development of advertisement, brochures, media campaigns, etc.
  • Plans, coordinates and reviews special community events such as VIP open houses, where the community is invited to attend
  • Maintains required records and reports as outlined in UCH's Policies and Procedures manuals
  • Participates in department budget planning and supplies monthly report to leader, as requested
  • Maintains confidentiality of necessary information
  • Handles unusual occurrences calmly and logically to maintain continuity of business and duties
  • Dementia Special Care Unit--Follows all appropriate safety and security guidelines, procedures and protocol for residents in the Unit; Participates in relevant educational and training activities as appropriate
  • Performs all other duties as assigned or directed

Skills & Abilities

  • Education: Associate's Degree (two year college or technical school): Preferred
  • Experience: One (1) year or more of related experience
  • Computer Skills: General ability to use a computer, the Internet and general office equipment
  • Certifications & Licenses: Must possess a valid driver's license; Must obtain and maintain mandatory, state and federal requirements and certifications for practice or occupation
  • Other Requirements: Must be able to read, write, understand and speak the English language; Sales experience, particularly in health care services, products or pharmaceuticals is desirable; Special care or dementia care employees will have additional training in the care and treatment of dementia residents; Must be able to work closely with Administrator, Director of Nursing, and Regional Marketing Director, families, employees and community; Must be able to adhere to all terms and conditions set forth in the United Church Homes Employee Handbook
