COMPENSATION AND BENEFITS

This position has administrative duties for both rehab operations and Optima Therapy. Duties include being responsible for patient intake duties for timely and efficient delivery of therapy services, scheduling telehealth visits and staffing to assure quality patient care, coordination with the Finance Department on the direct billing process and supporting the Accounting Department.

ESSENTIAL FUNCTIONS:



  • Serves as Optima Therapy Administrative Assistant, which includes, but is not limited to:

    • Operating unit set up and management
    • User role management
    • Program feature expert
    • Billing systems expert (CTB, RCM)


  • Identifies obstacles to success and develops problem solving strategies.


  • Assists with initial set up and periodic updates for facility contracts and accurate invoicing to the customer.
  • Serves as a key contact person to Optima Therapy's account manager and coordinates monthly, or as needed, team calls.
  • Completes patient insurance verification, obtains physician orders and assists with the scheduling of patient appointments.
  • Manages direct billing to insurance providers which includes claims processing, accounts receivable, credentialing for healthcare professionals, and supporting the accounting department as needed.
  • Communicates with physician offices to obtain necessary documentation for therapy services and billing.
  • Provides other clerical support tasks to include filing, managing records and reports, answering phones, taking messages, faxing and photocopying.



ONGOING DEVELOPMENT will occur in the following responsibilities:



  • Interact with and respond to stakeholder questions, assuring appropriate access to software, managing passwords.
  • Collaborates at a cross-divisional level to ensure program success and issue resolution. Represents Infinity Rehab's needs in cross-company meetings and working sessions.
  • Coordinates activity for Optima Therapy updates and coordinates appropriate communications to the field about changes
  • Acts as a subject matter expert for Optima Therapy.
  • Manages project communications. This includes communications planning, information distribution, and on-going assessment of appropriate knowledge transmission.



OTHER FUNCTONS:



  • Attend company meetings as requested
  • Assist with other activities as directed by Operations



Qualifications

  • Baccalaureate degree in healthcare, project management, computer sciences, finance or related field.
  • Well versed in Microsoft Project, Word and Excel. Prefer advanced experience in Excel
  • General computer knowledge including printers and fax. Transferable knowledge of using other software that can be applied to Optima Therapy.
  • General telecommunications knowledge, including internet services and phone lines.
  • The ability to successfully multi-task and handle interruptions.
  • The ability to lift up to 30 pounds on an occasional basis is needed.
  • Exceptional oral and written communication skills with a strong sense of professionalism and customer service.
  • The ability to work successfully as part of a team.
