Posting Summary
The School of Business at Rutgers University-Camden is seeking a full-time Administrative Assistant. The Administrative Assistant independently coordinates the day-to-day operations and provides critical support to the administrative functions of the Academic Services Offices for the Undergraduate and Graduate Programs at the Rutgers School of Business-Camden ( RSBC). The Administrative Assistant serves as the first level contact with the school and university communities and interacts extensively with both internal and external stakeholders. Duties include organizing, executing, and coordinating office procedures and routines, as well as performing diversified and confidential record keeping and communications that require judgment in the resolution of routine administrative processing to support the RSBC Academic Services Offices.
This position supports the academic advising teams in assisting both undergraduate and graduate students throughout the academic journey within the RSBC, and plays a key role in communicating, documenting, supporting, and assisting with the execution of all the student's academic milestones. Duties also include the confidential, administrative, and general staff assistance in such matters as event logistics in coordination with the school-wide Secretary, travel arrangements, scheduling, research, basic web updates, report writing, the maintenance of student records, and management of office and program functions. Specifically, this position assists the recruitment and advising teams with onboarding and retention processes for RSBC students, particularly non-academic and general questions; communicates with students who might need assistance (non-academic); promotes collaborations between departments and the school to expedite student issues; and tracks the progress of students.
As this position will be the "front line" to students coming in for advising appointments, the position requires excellent customer service skills and ability to prioritize tasks effectively. Work is performed under direct supervision with specific instructions on routine or semi-routine work. The individual will perform professional work that requires knowledge of the various program details as well as basic application of the RSBC's mission, vision, and values. The individual in this position is required to regularly communicate to their direct supervisors and coordinate with other members of the RSBC staff as well as Rutgers-Camden campus staff.

Minimum Education and Experience
A bachelor's degree or an equivalent combination of education and similar office experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
A bachelor's degree or an equivalent combination of education and similar office experience; knowledge of office administration, organization, and planning; excellent computer skills, database management and manipulation, exceptional telephone and interpersonal skills reflecting the ability to interact with a broad spectrum of populations such as students, faculty and administrators, a proven history of attendance and the ability to multi-task. Ability to initiate ideas and execute projects independently. An exceptional commitment to providing high quality customer service to students, staff, faculty, and visitors. Some experience with web updates, designing flyers and/or web postings (i.e., banners).
Preferred Qualifications
Bachelor's degree or an equivalent combination of education and experience in higher education and event logistics.
Equipment Utilized
Microsoft Office, web and design software (WordPress/Canva), Email applications (Mailchimp), scanner and photocopying equipment. Experience with degree audit programs and student information system as well as database design and maintenance. Rutgers E-learning system (Canvas), RU Transfer, and the Rutgers Course Schedule are all software programs/platforms that the Administrative Assistant should be familiar with and use in support of all functions. Training will be required for all Rutgers University software systems.
Physical Demands and Work Environment
Availability to work evenings and occasional weekends.
