Essential Functions and Responsibilities

  • Manages and supervise the day-to-day operations of the insurance agency office, ensuring efficient workflow and adherence to established procedures.
  • Coordinates and oversees administrative tasks, including but not limited to, filing, data entry, document management, correspondence, Quality & Assurance and reporting functions.
  • Develops and implements office policies and procedures to enhance productivity and ensure compliance with regulatory requirements.
  • Monitors and maintains office supplies and equipment, coordinating repairs and replacements as needed.
  • Trains and supervises administrative staff, providing guidance and support to ensure high-quality work and professional development.
  • Provides assistance to staff on technical issues when necessary.
  • Stays informed regarding insurance technical knowledge, market trends, agency automation, company information, and other operating techniques
  • Performs all Insurance Services job functions and provides backup when necessary.
  • Develops and implements member satisfaction monitoring processes.
  • Monitors and updates insurance databases and systems to ensure accurate and up-to-date information.

Other Duties and Responsibilities

  • Assists with other tasks and projects as assigned.

Knowledge, Skills, and Abilities

  • Must have strong knowledge of insurance agency operations, including understanding of insurance products, policies, and procedures.
  • Must be proficient with AMS360 report functions
  • Must have strong PC skills, with proficiency of MS Outlook, Excel, Word, PowerPoint, and OneNote
  • Must have excellent leadership and supervisory skills, with the ability to motivate and inspire a team.
  • Must have exceptional organizational and multitasking abilities, with a keen eye for detail.
  • Must have excellent communication and interpersonal skills, with the ability to interact professionally with staff, clients, and insurance carriers.
  • Must be proficient in using office productivity software and insurance agency management systems.
  • Strong problem-solving and decision-making skills, with the ability to prioritize tasks and handle multiple deadlines.
  • Must have knowledge of regulatory requirements and compliance standards in the insurance industry.
  • Must maintain confidentiality and handle sensitive information with discretion.
  • Must have a professional demeanor and a positive attitude.
  • Must be able to work in a general office environment
  • Must be flexible and able to shift resources and priorities as required
  • Should possess a strong commitment to providing excellent service to Truliant's members, both internal and external

Physical Requirements

  • Occasional standing, walking, bending, and stooping required
  • Must be able to sit at a desk for moderate periods of time and use a computer
  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Associates degree in business administration or a related field preferred.
  • Minimum of 3-5 years of experience in office management, preferably in an insurance agency or related industry preferred
  • CRM experience preferred
