The Position

The Academic & Tutoring Support Services Specialist reports directly to the Director of Academic & Tutoring Support Services and collaborates closely with the rest of the administrative tutoring staff. The primary responsibilities include managing the Tutor Management System (TracCloud), working directly with the system's vendor, IT, and Institutional Research (IR) to ensure seamless operation and data accuracy. The specialist will generate reports from the system, compile and submit semester data to IR for dashboard integration. Additionally, the specialist will provide walk-in tutoring support as needed, ensuring students receive academic assistance in high-demand areas.

Staff Duration: Full Time 12 months


What You Will Do

  1. Assist with supervisory support of the Tutorsas well as the physical spaces of the Tutoring Center.
  2. Provide walk-in tutoring support as needed, ensuring students receive academic assistance in high-demand areas.
  3. Tutoring Management System (TracCloud): Maintain TracCloud data accuracy, activate new semesters, manage profiles, and assist with system updates.
  4. Ensure accuracy of 5,000+ session logs per semester, submit reports to Institutional Research, and generate reports. The ATSS Specialist will generate ad hoc reports as needed using the scheduling and tracking system. The role also supports the implementation of system updates to enhance the efficiency and functionality of the Tutoring Center's tracking processes.
  5. Provide troubleshooting when management system is down, needs updates, etc., coordinate with IT/vendors on system issues, and recommend improvements.
  6. Support staff with tutoring data/reporting needs, assist in training, and collaborate on system integration with institutional tools.
  7. Related projects and initiatives as assigned.

The Successful Candidate Must Have

1. Bachelor's Degree.
2. Two years of experience working with technology in a fast-paced customer-focused environment.
3. Experience working with students in higher education.
4. Ability to serve as team/project leader and/or assist with supervision of others.
5. Demonstrated proficiency in the use of Microsoft Office or similar products and a database system; ability to create standard/new reports with limited oversight; prior use of online platforms and sites.


Even Better If You Have

1. Bachelor's or Master's Degree in a field related to Science, Technology, Engineering or Math (STEM).
2. Prior experience working as a professional tutor in English, Social Sciences or Science, Technology, Engineering or Math (STEM).
3. Prior supervisory experience.
