JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Morgan Academic Center is seeking an Administrative Support Assistant with excellent interpersonal, organizational, and computer skills to provide administrative support within the Morgan Academic Center. This position completes administrative activities and tasks of a technical or functional nature.

The Administrative Assistant supports the general administrative functions of a wide variety of academic or administrative units; including greeting/referring/assisting visitors, customers, or staff; preparing documents and reports; compiling records; scheduling meetings; organizing and maintaining information; coordinating calendars; analyzing data including budgetary expenditures; and providing general office support.

Responsibilities include but are not limited to:

  • Greet visitors and provide information; review, respond to, and direct inquiries
  • Plan, organize, support, and coordinate daily office activities and administrative processes for 20+ staff members within the Morgan Academic Center units (Brand Academy, Development & Enrichment and Nutrition)
  • Coordinate meeting logistics, including scheduling, material preparation, and agendas
  • Assist with Academic Awards by gathering information and reviewing information, such as, Academic All B1G Ten/NCAA postgraduate, the Nittany's, and other distinguished scholars awards
  • Provide support for scheduling, personal calendars, and travel arrangements
  • Support and coordinate special events; reserve spaces, develop itineraries, prepare materials, coordinate work between teams, and serve as the point of contact with vendors
  • Set up meetings/Doodle Polls
  • Assist and serve as backup for part-time wage-payroll hiring process and assist with process bi-weekly payroll
  • Collect, organize, research, and analyze information and data to prepare reports, presentations, summaries, contracts, and proposals
  • Create weekly study hall reports for counselors for all teams
  • Send daily email to update MAC Staff
  • Run Daily Appt. log for study hall monitor
  • Maintain inventory and order office supplies; arrange for equipment maintenance; process work orders for facilities needs
  • Assist with preparation of excuse letters and notifications for team excused travel
  • Provide support for scheduling, material preparation, calendars, and travel arrangements
  • Maintain office supplies, copier maintenance, and work orders
  • Create and maintain files and databases
  • Other duties as assigned

Education and Experience Requirements:

Minimally requires a High School Diploma/GED (Vocational Training/Degree is accepted). Previous relevant work experience is accepted in lieu of education.This position is filled at the Support level and demonstrates baseline working knowledge of routine tasks; follows the standard principles and practices; acts under direct and frequent supervision using established procedures with detailed instructions; participates as a team member and actively contributes to completing team goals; and clearly communicates information.

Preferred Experience/Skills:

  • Knowledge of Microsoft Office 365 systems(Teams, Word, Excel, Forms, SharePoint, OneDrive, etc.)
  • Knowledge of standard office procedures
  • Knowledge and adherence to Penn State policies and reporting guidelines
  • Excellent interpersonal and communication skills, computer skills, attention to detail, and confidentiality are essential
  • Success in an office environment where organizational skills are crucial to be effective
  • Interest in learning job-related software, like Prophix financial software, etc.
  • Experience with higher education software systems such as Concur, SIMBA, 25 Live, OPP's EZRequest
  • Ability to be detail-oriented
  • Ability to work with a high level of professionalism, both independently and collaboratively, as a member of a team
  • Demonstrates a genuine appreciation for working with diverse populations

This position requires the following clearances: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check.

The salary range for this position, including all possible grades is:

$34,800.00 - $50,500.00
