Rutgers University Behavioral Health Care ( UBHC), established in 1971, offers a full continuum of evidence based behavioral health and addiction services for children, adolescents, adults, and seniors throughout New Jersey. UBHC's 1,060 experienced behavioral health professionals and support staff are dedicated to treatment, prevention, and education.
UBHC, one of the largest providers of behavioral health care in the country, has a budget of $260 million and has 15 sites throughout New Jersey. Services are readily accessible and include: inpatient, outpatient, partial hospitalization, screening, crisis stabilization, family/caregiver support, community outreach and case management, supportive housing, supported employment, prevention and consultation, employee assistance programs, and a licensed therapeutic school from preschool through high school.Specialty services include the New Jersey suicide prevention helpline and peer help lines for police, veterans, active military, teachers, mothers of special needs children and child protective service workers.
In FY2016, UBHC treated 16,199 consumers, had 24,502 admissions, and touched the lives of 19,441 individual callers through peer support. In addition, UBHC is the primary mental health training resource for the New Jersey departments of Human Services, Children and Families, and Corrections, delivering 16,000 trainings each year.
Posting Summary
Rutgers, the State University of New Jersey, is seeking a Secretary II for the Intensive Recovery Treatment Support Department within Rutgers University Behavioral Health Care.

Provides secretarial support services for University Behavioral Health Care IRTS program sites.

Among the key duties of the position are the following:

  • Under supervision, completes assigned paperwork for the department, including travel and mileage reimbursement forms, purchasing requests, and check requests.
  • Maintains appropriate spreadsheets, log sheets reporting data and records needed for efficient operation of Unit.
  • Performs word processing assignments from rough drafts, ensuring proper format, correct grammatical usage and proofreading accuracy.
  • Serves as liaison between Unit, internal and external agencies.
  • Receives and assists staff, consumers, and visitors in a courteous and professional manner.
  • Maintains office supplies and equipment necessary for efficient functioning of administrative office.

Qualifications


Minimum Education and Experience

  • Graduation from an accredited program in secretarial studies plus three (3) years of full-time secretarial experience required.
  • An additional year of experience is required in lieu of the secretarial program. Proficiency in typing and word processing skills required.
  • College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.

Certifications/Licenses
  • Valid driver licenses.
Required Knowledge, Skills, and Abilities
  • Experience with Microsoft Office package (Word, PowerPoint and Excel) required.
Preferred Qualifications
  • Knowledge of Marketplace, Expense Management and procurement policies and procedures preferred.
Equipment Utilized
  • Laptop, Desktop, scanner, printer, telephone, fax.
Physical Demands and Work Environment
PHYSICAL DEMANDS:

  • Ability to sit for extended periods of time at a desk working with a computer, and fax machine.
  • Ability to carry files and bend and reach to file. Moderate physical effort (lift/carry up to 25 pounds).
  • Ability to travel as needed to other UBHC sites in personal vehicle.
  • Ability to climb stairs to reach other UBHC departments as well as alternate UBHC sites.


WORK ENVIRONMENT:
  • Busy office with heavy staff/agency contact at Piscataway and Trenton sites, crisis-oriented environment with heavy client contact at New Brunswick site.
Special Conditions

  • Must have a valid driver's license and possesses own vehicle or alternative means of transportation from one site to another.
  • May be required to work one evening per week and one weekend day.
  • Must pass DOC Administration security/background investigation which may include electronic fingerprinting.
