We have an opportunity at our corporate offices in Chicago for a Sr. Contracts Coordinator I on our Center for Health Equity team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position provides contract administration support for the
Center of Health Equity, responsible for contracts administration,
assisting in preparing, examining, and revising contracts for existing contracts, new business and
proposals. Works closely with the Offices of General Counsel and Finance to
process the Center's contracts. Responsible
ensuring compliance of all contracts, in accordance with contract requirements,
established policy, procedures, applicable laws, and ethics requirements. Liaise with internal
and external stakeholders.

RESPONSIBILITIES:

Contracts Coordination

  • Under moderate supervision, assist in the development and implementation of contract management processes
  • Review contractual documents to ensure compliance with enterprise policies
  • Enter contracts and all accompanying documentation into the Contracting system, IronClad, and securely maintain with proper facilitation of revisions and final execution between Project Manager and OGC/Finance
  • Works closely with internal subject matter experts to assist in ensuring project manager and client adherence to contractual obligations
  • In collaboration with business stakeholders, help draft legal agreements including but not limited to MSA, addendums, amendments, statements of work and NDAs
  • Identify inefficiencies within the Center of Health Equity and recommend areas of improvements.
  • Updates trackers regularly and prepares and delivers reports to the Center's management teams to provide insight into efficiency
  • Support the Center in developing and maintaining effective working relationships with internal AMA business units and external

Invoice Processing

  • Review invoices submitted to Operations for accuracy and compliance
  • Submit invoices to Finance in a timely manner for payment processing
  • Update Operations' trackers

Project Support

  • Prepare weekly, monthly and ad hoc contracting reports as assigned
  • Communicate on an ongoing basis with Project Managers and management on contract progress

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's degree preferred, preferably in business administration, healthcare management, or related fields or equivalent applicable work experience required
  2. Minimum 3+ years' experience with administrative support with exposure to contracts required
  3. Strong knowledge of Word, Excel, and databases required; experience with IronClad and Asana a plus
  4. Ability to present information clearly and concisely; strong written communication skills required
  5. Experience reading legal documents highly preferred
  6. Strong attention to detail, with business acumen and demonstrated success in working on/with operational tasks or project management
  7. Demonstrated ability to work independently on projects simultaneously; ability to function effectively as a team member
  8. Excellent organizational, and problem-solving skills; with the ability assess whether information provided is complete and if not, ask requestor for clarifying information
  9. Ability to exercise discretion and sound judgment in handling confidential AMA business
  10. Proactive and solution oriented; comfortable in a dynamic, fast paced start-up environment

This role is a non-exempt position and the hourly range for this position is $24.58-$31.91. This is the lowest to highest rate we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
