Position Overview
The Administrative Associate position will provide administrative and communications support for Department of Film and Media Studies. Part of the College of Liberal Arts & Sciences, Film and Media Studies reflects a liberal arts perspective toward the study of film and media as well as hands-on production elements.

The Administrative Associate must have strong communication, organization, and computer skills. This position reports to the department chair.

Job Description
40% Administrative Support
  • Oversees the daily operations of the Department of Film and Media Studies (FMS), including reception, purchasing, supply inventory
  • Resolves complex challenges related to daily functioning of department
  • Serves as point of contact for internal offices including IT, Registrar, Shared Service Center, and Facilities
  • Manages departmental email account
  • Supervises student hourly employees
  • Maintains academic records
  • Manages the scheduling of/access to departmental classrooms
  • Coordinates the hiring of all faculty, lecturers, and staff
  • Assists with GTA assignments
  • Manages course scheduling
  • Monitors enrollments and provides enrollment data
25% Chair & Faculty Support
  • Manages the Chair's calendar, including tracking deadlines and routine activities, schedules departmental and other meetings at chair's request, and assists chair by handling routine requests
  • Coordinates correspondence and calendar scheduling
  • Assists faculty with administrative forms and paperwork
  • Schedules meetings and takes minutes
20% Student Support
  • Coordinates all departmental awards/scholarships
  • Responds to inquiries about the undergraduate program
  • Coordinates prospective student visits
  • Manages student inquiries, including serving as a liaison for calendars, deadlines, policies, and contact persons for academic process
10% Events & Communication Activities
  • Creates and edits department newsletter
  • Contributes content to the department website and social media accounts
  • Assists with the organization of departmental events, including the annual recognition of FMS scholarship/award recipients
  • Facilitates event related financial transactions in collaboration with the department's Shared Service Center
5% Other duties as assigned

Position Requirements
The work location is fully on-site.

Required Qualifications
  1. Bachelor's degree OR a high School diploma or GED equivalency plus a minimum of two years related administrative support work experience.
  2. One to two years Computer skills including MS Office and Adobe Creative Suite (or equivalent) as demonstrated by application materials and previous experience.
  3. Strong written and organizational skills as evidenced by application materials.

Preferred Qualifications
  1. Strong interpersonal communication and collaboration skills as evidenced by application materials
