Job Summary
The Operations Scheduling Manager is responsible for overseeing the entire Waitstaff scheduling process for the banquet department, including staffing all server events, maintaining scheduling matrix and being a part of the daily Banquet operations.
Operations
- Responsible for complete scheduling cycle; including creating forecasts, preliminary, and final schedules and filling book offs.
- Work with Banquet manager for other location to ensure all Server events are staffed in accordance with staffing guidelines as outlined in current the Collective Bargaining Agreement (CBA).
- Utilize online staffing program to manage schedules for 200+ team members.
- Utilize voice broadcasting service to send and track phone calls to large groups of staff
- Attend BEO meetings with the Banquet and Sales Departments to identify and/or clarify staffing concerns such as function types or other issues that directly impact the server schedule.
- Full working knowledge of CBA as it pertains to Servers.
- Work with Payroll Manager to ensure all team members are paid accurately and timely for all events worked including correct hourly rates, gratuities, captain fees and extra covers.
- Work with HR to have active involvement in the union grievance process as they pertain to server staffing and scheduling.
- Understanding of basic concepts and operations of catered events.
- Assist with the daily administrative tasks of the department including but not limited to daily labor reports, and month end close reporting.
Management & Training
- Provide consistent support and prompt responses to the banquet department for all related server scheduling issues.
- Track and administer attendance-related disciplines for team members
- Facilitate training courses for all managers to provide them with a fuller understanding of the process to enable them to fill callouts when necessary.
- Ensures team members adhere to Levy Restaurants Company guidelines as stated in team member training manual and employee handbook.
- Fill in as back up support in the absence of the Staffing manager across location and request additional assistance from the banquet department if needed.
Job Requirements
- Able to communicate effectively with management team and union team members.
- English reading, writing, math and computer skills required.
- Must be flexible with schedule and able to work different shifts including nights and weekends.
- Ability to manage multiple methods of communication simultaneously.
- Ability to learn and successfully operate multiple software programs required for sending schedules, collecting data, exporting event orders and scheduling team members on a weekly basis.
- Ability to manage a daily timeline of responsibilities, completing all tasks efficiently with minimal supervision.
- Understanding of the concepts and operations of catered events.
- Experience preferred with OMS, MyStaff and Survey Monkey
- Proficiency with Microsoft Office software. Primarily Microsoft Excel.
- Has strong attention to detail.
