This is a temporary role. Responsibilities
- Oversee and manage core office operations, including budgeting, fiscal reporting, personnel administration, and database systems.
- Collect, organize, and analyze data; generate related reports and summaries.
- Draft, proofread, and revise documents, correspondence, and reports.
- Conduct investigative support tasks such as records research and information gathering for litigation, claims, and other legal matters.
- Maintain organized records through both electronic and physical filing systems on a daily basis.
- Train new and current staff on office programs, systems, and procedures to ensure efficiency and compliance.
- Ensure legal documents, correspondence, and files are maintained in accordance with statutory and regulatory retention requirements (e.g., board materials, ethics certifications, charitable registrations).
- Manage the contract approval workflow for the Office of General Counsel, including drafting standard contracts, maintaining a contract log, and coordinating legal sufficiency reviews.
- Prepare correspondence, memoranda, and presentations for attorneys, either as directed or independently for routine matters.
- Perform daily fiscal functions such as invoice processing and expense tracking to ensure accurate financial reporting.
- Develop and manage the department's annual budget and mid-year forecasts; monitor and document expenditures and adjust as needed.
- Administer domestic and international trademark docket maintenance.
- Schedule appointments, maintain attorneys' calendars, assist clients, and arrange travel, including preparing travel expense reports.
- Maintain confidentiality and attorney-client privilege; conduct legal research and obtain necessary information through written or oral communication as requested.
- Greet visitors, answer phones, and direct inquiries professionally and courteously; serve as backup for reception duties as needed.
- Duplicate and distribute documents and handle faxing or related administrative support tasks.
- Deliver efficient administrative support and maintain up-to-date office procedures.
- Perform additional duties as assigned.
