Cherokee Nation Federal Consulting is seeking a highly qualified Project Support Specialist to support the Defense Health Agency (DHA) Program/Project Office in the construction, outfitting, and operational transition of military healthcare and medical research facilities. This position provides critical administrative, document management, and project coordination support to a multidisciplinary project management team and plays a key role in maintaining federal compliance and operational readiness. This position requires the ability to manage sensitive government data, oversee administrative logistics, and support personnel and supply tracking within a secure and regulated environment.

Pay commensurate with experience.

Project Support Specialist Responsibilities Include:

  • Manage day-to-day administrative operations including answering phones, greeting visitors, and managing calendars, personnel leave schedules, and recurring meeting coordination.
  • Prepare, edit, and format reports, correspondence, and spreadsheets from handwritten or electronic drafts using Microsoft Office tools, ensuring proper grammar, formatting, and arithmetical accuracy.
  • Maintain secure filing systems, personnel records, and training files in accordance with DHA and DoD retention and privacy policies.
  • Assist with the coordination, documentation, and tracking of initial outfitting and transition (IO&T) activities, including procurement tracking and budget disbursements when assigned.
  • Coordinate property inventories and maintain accountability of all project equipment and supplies in partnership with government logistics teams.
  • Prepare and submit supply and equipment orders under government directives; track deliveries and ensure proper documentation is entered into the property book.
  • Support construction and design review meetings by preparing agendas, taking and distributing meeting minutes, and tracking action items.
  • Coordinate with DHA-FE to maintain an accurate personnel roster and provide updates as personnel changes occur.
  • Organize and maintain administrative records, digital and physical files, and regulatory documentation for active and planned projects.
  • Provide ongoing support for government audits, document requests, and compliance checks.
  • Maintain monthly program calendars, ensure readiness of office supplies and equipment, and track future project requirements.
  • Performs other job-related duties as assigned

Project Support Specialist Experience, Education, Skills, Abilities requested:

  • Associate degree or higher required; bachelor's degree preferred.
  • 5+ years of experience in a project support role, ideally within federal, military, or healthcare infrastructure settings.
  • 3+ years supporting "Mega Projects" valued over $2M (Required).
  • 3+ years of experience supporting military medical facilities (Preferred).
  • Experience with supply chain management and inventory tracking (Preferred).
  • Familiarity with Government Purchase Card (GPC) procedures or similar federal procurement methods (Required).
  • Proficiency in Microsoft Office applications, especially Word, Outlook, Excel, and PowerPoint.
  • Working knowledge of DoD Enterprise Directory Services (EDS) and related military administrative systems.
  • Strong organizational and multitasking abilities in highly regulated environments.
  • Excellent written and verbal communication skills; ability to interact effectively with technical staff, government representatives, and external stakeholders.
  • Ability to safeguard sensitive government and personnel information in accordance with federal data protection standards.
  • Administrative support or project coordination certifications are a plus.
  • Active Secret Clearance or ability to obtain one required.
  • Must pass pre-employment qualifications of Cherokee Federal
