JOB DESCRIPTION
JOB SUMMARY:
The facility coordinator oversees the efficiency and continuous improvement of the material handling operations by supporting the day-to-day clerical and operational activities related to material handling, receipt, storage, organization, receiving, order fulfillment, inventory control, tool room, calibration, shipments, pick-ups and deliveries. Ensures that workplace health and safety requirements are met. Overall responsibility is to ensure required personnel, material, and equipment are available to support all ongoing and upcoming projects. Responsible for the security of the storeroom/warehouse building and stock. Works closely with Facilities, Operations, Planning, Program Management, Procurement, and Accounting departments and functional areas. ESSENTIAL FUNCTIONS:
1. Maintains all shop equipment and coordinates scheduled service intervals.
2. Responsible for planning, organizing and monitoring the receiving, storage and distribution of all commercial and Government Furnished Material (GFM) items received either from suppliers, production shops or Government, ensuring a smooth and consistent operation so parts and supplies are located and distributed to proper departments in an effective and efficient manner as needed to satisfy internal and external customer requirements.
3. Ensures property is secure, and records are accurate.
4. Confers with project teams to evaluate and schedule driver deliveries and pickups.
5. Resolves discrepancies with accounting regarding invoices, packing slips, and receiver reports.
6. Responsible for incoming and outgoing mail.
7. Manages and controls all government, customer and company-owned material and property (Property).
8. Oversees incoming receipt and outgoing shipment processing for property in accordance with procedures and customer contract requirements.
9. Ensures all property is entered into the correct tracking systems, and all documentation is updated accurately and timely in electronic files.
10. Maintains responsibility for any internal or external inventories and audits. Schedules sampling inventories throughout the year.
11. Works closely with the Government Personnel and ECR Project Managers in closing out any Government Contracts by supplying the information needed so property can be transferred or dispositioned correctly.
12. Ensures all instructions from the Government Property Administrator and Plant Clearance Officer are followed for the disposition process.
13. Prepares all reports requested by the Government, Customer or Company personnel.
14. Ensures tools and equipment issued by the department are in good working order and are calibrated on schedule.
15. Maintains and updates ECRPO Tool Room database and ensures accuracy of data and conformance with established Tool Room management system for tool number assignments, issuing, returns, adding tools, tool reports, etc.
16. Monitors and ensures conformance with established consumable replenishment system.
17. Leads and develops the team to deliver unparalleled customer service, functional knowledge, accuracy and an embedded safety culture.
18. Resolves problems or complaints and maintains high levels of accuracy in daily operations.
19. Keeps work areas clean and organized to promote a safe and efficient work environment.
20. Performs other tasks as assigned.
JOB REQUIREMENTS
QUALIFICATIONS:
1. Strong safety focus, with knowledge of how to access and use Safety Data Sheets.
2. Knowledge of the Federal Acquisition Regulation (FAR), Defense Federal Acquisition Regulations Supplement (DFARS) and related federal and state legislation and regulations related to Government property and material.
3. Computer literate and proficient using Microsoft Suite and ECRPO related to the function.
4. Detail oriented.
5. Excellent oral and written communication skills.
6. Ability to work independently, as well as across functional teams with varying personalities on material-related issues. Multi-tasking is a crucial skill required for success in this fast-paced environment.
7. Strong continuous improvement skills and strategies.
8. Effective leadership and interpersonal skills.
9. Understanding of the safe operation of material handling and the equipment used by the team. EXPERIENCE/EDUCATION:
1. High school diploma or GED equivalent required.
2. Associate degree in business, management or related field preferred.
3. 3+ years working in ship repair field preferred.
4. Experience in government property, contractor furnished material or customer furnished material.
5. Experience in leading small teams.
6. Experience with inventory reconciliation and tool room operations.
7. Ability to pass a background check for access to military bases.
PHYSICAL REQUIREMENTS:
1. Ability to safely lift 20 pounds regularly and up to 50 pounds or more occasionally.
2. Ability to sit and/or stand for long periods of time, bend, reach and move about the facility.
There may be occasional lifting, reaching, and bending to move tools, materials and packages. Physical dexterity may be required when operating calculators, copiers, computers and/or other typical office equipment. This position may experience eye and muscle strain, backaches, headaches, and repetitive motion injuries from using computers daily and may have to sit for extended periods while reviewing detailed data.
ENVIRONMENTAL CONDITIONS:
This position works primarily in the warehouse and rarely aboard ships. Aboard and near the ships, there may be exposure to hostile environments or loud noises or hazardous chemicals or smoke or extreme temperatures. This position requires lifting, reaching, bending and computer use. May experience eye and muscle strain, backaches, headaches, and repetitive motion injuries from these activities and using computers daily. May have to sit for extended periods while reviewing detailed data.
During work-site visits will be required to wear appropriate PPE including, but not limited to:
Hard hat
Ear plugs or attenuator
Safety shoes
Dust mask or respirator
Gloves
