Job Title: Service Advisor - Heavy Duty Diesel Trucks and Equipment

Location: Butler Wisconsin

We are seeking a highly organized and detail-oriented Service Advisor to join our heavy-duty diesel truck and equipment service department. The ideal candidate will excel in clerical tasks, maintain exceptional organizational standards, and provide outstanding customer service to ensure the smooth operation of the service department.

Key Responsibilities:



  • Customer Interaction: Greet customers, listen to their concerns, and translate technical issues into clear work orders for technicians. Communicate repair progress, timelines, and costs effectively with clients.
  • Work Order Management: Create, track, and close work orders accurately, ensuring all details (parts, labor, and services) are documented correctly.
  • Clerical Excellence: Perform administrative tasks including data entry, filing, and maintaining digital and physical records of service histories, invoices, and warranties with precision.
  • Department Organization: Maintain an orderly service department by managing schedules, organizing paperwork, and ensuring service bays are allocated efficiently. Keep inventory records updated and coordinate parts ordering.
  • Communication Liaison: Act as the primary point of contact between customers, technicians, and parts departments to streamline operations and resolve issues promptly.
  • Compliance and Documentation: Ensure all service documentation complies with industry regulations and company policies, including safety and environmental standards.
  • Team Support: Assist the service manager in generating reports, tracking key performance indicators (KPIs), and implementing process improvements to enhance department efficiency.


Qualifications:



  • Experience: Minimum of 2 years in a service advisor or administrative role, preferably in the heavy-duty diesel truck, equipment, or automotive industry.
  • Skills:

    • Exceptional organizational and multitasking abilities.
    • Proficient in clerical tasks, including data entry and record-keeping.
    • Strong computer skills, including experience with service management software (e.g., CDK, Reynolds, or similar) and Microsoft Office Suite.
    • Excellent verbal and written communication skills for customer and team interactions.
    • Ability to interpret technical information and relay it clearly to non-technical customers.


  • Education: High school diploma or equivalent required; associate's degree or certification in automotive/diesel technology or business administration preferred.
  • Attributes: Detail-oriented, proactive, and able to work in a fast-paced environment. Strong problem-solving skills and a customer-first mindset.
  • Certifications: Knowledge of diesel mechanics or industry-specific certifications (e.g., ASE Service Consultant) is a plus.


Working Conditions:



  • Full-time position, typically 40-50 hours per week, with occasional overtime during peak periods.
  • Work primarily in an office environment within the service department, with some time spent in service bays.
  • May require lifting light office supplies or parts (up to 25 lbs.) and standing for extended periods.
