Estimating Construction Coordinator (Administration Assistant) - Provide overall administrative assistance for the Civil & Environmental Estimating Team - will consider a part-time roll for this position for the right candidate based on experience and available hours from 9 AM - 2 PM. Estimating Construction Coordinator (Administration Assistant) Duties:
- Review all proposals for SBE/DBE participation goals and additional requirements. Implement all actions necessary to assure compliance including solicitations and follow ups.
- Review all proposals for insurance requirements - obtain quotes for anything other than a standard insurance certificate.
- Prepare bid documents by ordering appropriate bonding, obtaining appropriate signatures, preparing hard bid qualification statements, preparing envelopes, etc. interacting with executive management, project management and estimating management to complete.
- Work with estimators to make sure potential subcontractors are pre-qualified to work for Crowder pre-bid.
- Managing office supplies for estimating team and marketing.
- Working with marketing to compile prequalification requirements for bidding.
Additional Responsibilities:
- Order plans and proposals, arrange for appropriate distribution (to estimating staff, in estimating folders and on ftp site).
- Build and maintain appropriate database(s) and contact lists to make the appropriate contacts and meet the requirements on all bids.
- Create and submit complete documentation to owner as required.
- Review front end contract documents. Complete CTC form and submit to the Executive/Division Bid Committee.
- Work with Estimating Team as needed to obtain cost for bid - i.e., field offices and provide all manners of administrative support.
- Order P & P Bonds, Insurance Certificates, and or special insurance and forward along with executed of contracts to owner on projects that are awarded.
- Support Senior Division Managers as needed.
- Support Business Development Team as needed in proposal preparation.
- Support/provide back up for other administrative staff in the building as needed and time allows.
- Participate in team building and handle lunch, meeting, and/or event logistics.
Skills, Knowledge, Qualifications, & Experience:
- Proficient in Microsoft Office Products (Word, Excel, Outlook)
- Strong Written and Verbal Communication Skills
- Two years Administrative Assistant experience, preferably in the construction industry, or an associate degree and two years of relevant experience
- Attention to detail, excellent organizational and follow up skills are a must.
- Be able to organize and maintain records according to company policy.
- Must be a self starter and able to work unsupervised.
- Must be dependable and trustworthy.
- Must demonstrate appropriate level of leadership skills.
- Must be a team player willing to accept additional work requirements as needed.
Essential Functions:
- Must be able to sit and work at computer for extended periods of time
- Must be able to read, write, and understand English
- Must be able to effectively communicate both written and verbal
