The Corporate Travel Coordinator will arrange business travel for Duncan Aviation team members, identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations according to Duncan Aviation approved procedures. This position works closely with the Company designated travel agency and the Senior Travel and Events Coordinator; and performs routine administrative duties, billing, and record-keeping to support travel and events.

Essential Job Functions



  1. Researches, compares and accurately books travel arrangements including airline, hotel, car, etc., for Duncan Aviation team members according to Duncan Aviation approved travel procedures. Researches and evaluates all options for travel requests relative to costs, schedules, Company shuttles, etc., to ensure optimal travel expense management and service to employees. Obtains travel approval from leadership when travel requests and expenses exceed established limits.
  2. Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff. Advises travelers of and assists with any need for specialized travel documents such as visas or passports. Shared and advises new travelers on travel requirements and policies.
  3. Helps travelers as necessary when they are stranded or need guidance. This includes being available 24/7 (within reason) for travel emergencies and urgent requests.
  4. Assists Senior Travel and Events Coordinator with routine tasks associated with coordination and booking of various industry trade shows and events.
  5. Performs clerical and administrative functions (i.e. correspondence, data entry, photocopying, mail distribution, scheduling, notification, recordkeeping, order of materials and office supplies, etc.) for the Senior Management Team and General Counsel.
  6. Performs special projects and miscellaneous assignments as directed.
  7. Other duties as assigned by management.

Required Skills/Abilities:



  • Excellent verbal and written communication skills.
  • Strong working knowledge of the travel industry.
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.
  • Excellent organizational skills and attention to detail.
  • Able to work independently with little direct supervision.
  • Analytical problem-solver who can think outside the box.
  • Courteous and empathetic listener able to provide outstanding customer service and easily build rapport.
  • Able to prioritize multiple requests and respond in timely fashion.
  • Proficient with Microsoft Office Suite or related software.
  • Excellent verbal and written communication skills.
  • Strong working knowledge of the travel industry.


Education and Experience



  • High school diploma required; some higher education preferred.
  • Associates degree in travel or transportation related field or equivalent preferred
  • Minimum one year travel industry experience required
  • Previous training and experience with APOLLO, Smartpoint or similar travel software highly preferred.
