Office Coordinator - Parks

Full-time, Hourly

Hourly Range: $19.88 - $29.83

Job Summary - Major objective of this position is to provide and coordinate administrative and purchasing support to ensure an efficient and smooth workflow for Park Maintenance. Perform administrative and clerical duties, including supervision of temp staff. Process requisitions, purchase orders and receivers to ensure timely payments to vendors for all purchase requests and T&M Service Contracts for PM department. Maintain PM department purchasing documents and contracts while meeting the Milwaukee County purchasing and record keeping requirements. Provide administrative support to trades supervisors including clerical needs and Dayforce. Provide customer service to vendors, deliveries, and the public via in person and phone calls. Assist PM department with City Works system to improve operational efficiencies with Operations Team.

Job Responsibilities -



  • Purchasing Coordination - Process PM purchases Verify account coding for purchases, accurately enter, modify, and receive requisitions and purchase orders in INFOR financial system, work with vendors for resolution on disputes. Process Petty Cash receipts and reconciliation.
  • Process T&M Service Contracts - Process T&M Service Contracts and requisitions. Verify account coding for purchasing documents and T&M Service Contract requests; accurately enter, modify, and receive requisitions and purchase orders in INFOR financial system; work with vendors for resolution on disputes; verify invoices for contract compliance. Maintain Time & Material records.
  • Administrative Support - Provide professional customer service and assist with resolution on any service issues; Schedule interviews, assist with key requests from contractors; Maintain purchasing records file system; Order office supplies; Perform front desk duties including mail, deliveries, customers, and answer phone calls.
  • Work Order Request System -City Works - Process Service Requests from external and internal sources. Create and assign work orders to appropriate trade; dispatch urgent work orders request as needed; create preventative work order requests, process inspections and assign work orders, understand and have ability to speak to workflow of City Works request system.
  • Oversee PM Seasonal Staff - Give general direction and oversee PM seasonal staff, set up workflow, be responsible for QA/QC of services and work products.


Required Education, License/Certification and Experiences -




  • Current residency within the State of Wisconsin upon application required
  • Valid Wisconsin Driver's License required and must be maintained throughout incumbency
  • High school diploma or G.E.D is required
  • At least One (1) year of experience in high level administrative; accounting or equivalent.
  • Preferred candidates will demonstrate advanced computer skills.



License -



  • Forklift certification to be obtained within 6 months of employment.
