College of Optics and Photonics:

The College of Optics and Photonics (CREOL), one of the 13 colleges at the University of Central Florida (UCF), offers M.S. and Ph.D. degrees in Optics and Photonics and a B.S. in Photonic Science and Engineering. The faculty engages in a broad spectrum of research covering all areas of optics and photonics, ranging from fundamental physics to device and systems research. The college has 35 core faculty members, over 19 faculty members with joint appointments, about 60 research scientists and postdoctoral fellows, and over 130 graduate students and 170 undergraduate students.

The Opportunity:

CREOL, the College of Optics and Photonics, is looking to hire a Graduate Affairs Coordinator. The position will be involved in all activities related to academic admissions, registration, financial aid services, and orientation for current and potential University students. In addition, this position recruits, evaluates, and participates in the selection of candidates for admission. The Graduate Affairs Coordinator will also coordinate with all organizations and individuals involved in the admissions process and advise applicants about educational planning.

Responsibilities:


  • Office Management: Oversee the daily operations of the CREOL Graduate Office, ensuring efficient administrative support, streamlined processes, and effective coordination of graduate program activities.

  • Admissions Process for M.S. and Ph.D. Programs: Review applications, facilitate admissions reviews/selection with the committee, and make recommendations.

  • Academic Progress, Registration, & Policy Advising: Ensure enrollment and degree programs; Assist the Associate Dean with program accreditation; Run enrollment and admission reports; Assist with student qualifying and candidacy exams, and formation of committees.

  • Marketing & Recruitment: Attend graduate events and conferences; Organize and run prospective student visits; Help with the College marketing materials and advertisements, and maintain the CREOL student webpage & social media.

  • Fellowships, Scholarships, University Awards, Student Accounts: Work with the Associate Dean to develop new graduate enrollment projections to determine fellowships, scholarships, awards & tuition waiver needs.

  • Curriculum and Scheduling: Collect college syllabi and post them on the website; Process catalog changes; Order textbooks.


Minimum Qualifications:

Bachelor's and 2+ years of relevant experience or Masters degree and 0+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications:


  • 2+ years of experience working in admissions, academic advising, or a student services environment.

  • Experience using higher education systems and tools, including PeopleSoft, Slate, Aurora, ViewStar, GradInfo, and/or similar tools.

  • Strong organizational and project management skills, with the ability to manage multiple priorities, deadlines, and events (e.g., campus visits, conferences, orientation).

  • Proficiency in digital marketing tools or content management systems to support web updates and social media for student recruitment.

  • Proven experience in overseeing day-to-day office functions, ensuring smooth and efficient operations.

  • Exceptional interpersonal and written communication skills, with the ability to advise and support students and applicants.

  • Demonstrated ability to manage academic processes such as admissions, registration, graduation audits, and compliance with institutional and accreditation standards.

  • Familiarity with graduate financial aid processes, including fellowships, scholarships, tuition waivers, and graduate funding models would be useful.

Special Instructions to the Applicants:

The anticipated hourly range for this position is $20.29 to $22.57. The final hourly rate will be determined based on the candidate's qualifications, experience, and internal equity considerations.
