SET THE COURSE

Working with the Director of Construction and Construction Project Management Teams, the purpose of this role is to manage competitive bid processes and efficient purchasing and contracting activities for multiple new construction and remodeling projects across the Tommy Bahama portfolio. This role is responsible for securing the right vendors, supplies, and services within budget and schedule requirements.

BE THE ISLAND GUIDE

Supplier & Vendor Support

  • Help identify and evaluate suppliers and subcontractors
  • Assist with maintaining a database of qualified vendors
  • Support in pre-qualifying subcontractors for bidding

Bid & Proposal Assistance

  • Prepare bid packages and request for proposals (RFPs)
  • Help compare bids and summarize responses for review
  • Coordinate follow-ups and clarify questions with vendors

Purchase Order Administration

  • Draft and track purchases
  • Ensure accuracy in pricing, quantities, and delivery dates
  • Assist in resolving discrepancies with invoices or deliveries

Contract Support

  • Help prepare contract documents
  • Track contract compliance and renewal timelines
  • Keep records organized for audits and project needs

Cost Tracking & Budget Support

  • Monitor supplier invoicing vs. budget
  • Help identify cost-saving opportunities
  • Support reporting for cost forecasting

Collaboration & Communication

  • Coordinate with project managers, site supervisors, and finance
  • Support logistics for material deliveries
  • Keep all stakeholders informed of procurement status

ESSENTIALS FOR LIFE IN PARADISE

  • Bachelors in Construction Management, Business, Engineering or related field.
  • 2-4+ years of administrative experience in construction, purchasing or supply chain.
  • 2-4+ years of construction experience with exposure to workflows, materials, and multiple vendors.
  • Experience working across multiple states with geographic differences in construction costs, weather and general material availability makes a difference. Hawaii experience a plus.
  • Experience must include direct writing and sending Request for Proposals.
  • Working with procure systems such as Service Chanel a must
  • Proven ability to create and track document controls by project and team.
  • Knowledge of construction materials and procurement timelines.
  • High level of experience with Microsoft Excel, and Smartsheet.
  • Outstanding and proven attention to detail, organizational and time management skills.
  • Outstanding communication skills working in a fast paced, multi project and multi team environment that requires coordination with internal and external teams.
  • Team player. Willingness to learn and teak direction.
  • Professional communicator with curiosity about construction project live cycles and logistics.

Multiple factors will vary the applicable rate of pay for this role, including an individual's experience, knowledge, and skillset, as well as work location and available budget.

Rate Range: $78,000 to $120,000 per year
