The Fleet Administration Supervisor is responsible for supervising clerical staff that provide the necessary administration support for the Con Edison and Orange and Rockland fleet. The Supervisor provides leadership and guidance, including the planning of work activities and directing of resources to ensure that all required vehicle and garage site licenses and permits are obtained and renewed in a timely manner. This position is also responsible for making sure that all new vehicles are placed into service in a timely manner, and that vehicle information is accurately entered and updated in the Vehicle Management System. They are also responsible for properly maintaining all vehicle titles and ensuring they are available for vehicle disposal purposes. The Supervisor also motivates and mentors team members, acting as a champion to support and execute diversity, equity and inclusion efforts, which includes creating and maintaining an engaging and inclusive workplace and team. They also promote and develop positive relationships with internal customers and representatives from regulatory agencies, including the DMV.
Core Responsibilities
- Manage and supervise clerical staff responsible for fleet administration functions for Con Edison and Orange & Rockland.
- Ensure that vehicle licenses and/or permits are obtained promptly for new vehicles.
- Register plates/titles for Orange & Rockland fleet vehicles as "apportioned" registrations.
- Prepare and submit the required forms for annual permanent fleet registrations, permit renewals (e.g. highway use tax stickers) for Con Edison and Orange & Rockland.
- May be required, on occasion, to travel to a local DMV/DOT office or to Albany to rectify licensing issues or problems.
- Ensure new vehicle information is accurately entered into the Vehicle Management System. Update all data in the Vehicle Management System as necessary for Con Edison and Orange & Rockland.
- Coordinate the maintenance of all vehicle documents for all Con Edison and Orange & Rockland, including but not limited to vehicle titles, registrations, tax stamps, etc. Assist with the disposal of retired vehicles.
- Champion and support diversity, equity and inclusion efforts including fostering an inclusive and engaging environment.
- Lead and manage through the effective administration of the Companys policies, procedures and practices including salary administration, training, motivation, counseling, performance appraisal, discipline, etc.
- Assist with the new vehicle "make ready" process by ensuring that vehicles have all necessary documents and permits.
- May be required, on occasion, to supervise auto mechanics in the operation, maintenance, testing, repair and inspection of motor vehicles and associated power operated equipment.
- Promote good housekeeping practices in the work place.
- Act as liaison for Con Edison and Orange & Rockland with all local and state agencies such as DMV, DOT, Finance/Tax, etc.
- Participate in various automotive committees/task forces and provide feedback relative to quality and productivity improvements, training, requirements, etc.
- Perform other related tasks and assignments as required.
- Ensure the efficient use of resources by managing overtime, monitoring actual vs. budget spend, and oversee departmental spend.
- Ensuring work activities are performed in a safe and efficient manner.
Required Education/Experience
- High School Diploma/GED and 5 years related work experience or
Relevant Work Experience
- 2 years Supervisory experience (union, management, or contractors), preferred.
- Experience performing quality checks and/or reviews, preferred.
- Work experience with fleet vehicles and equipment, preferred.
- Experience using Vehicle Management System, preferred.
- Experience in Fleet Administration and working with local and state agencies, such as DMV, DOT, Finance, etc, preferred.
