DESCRIPTION OF WORK

As an Administrative Assistant 1 with the Bureau of Municipal Pension Audits team, you will provide clerical and office support within the bureau to ensure operations are conducted efficiently and effectively. Some primary duties include:

  • Performing data entry into and retrieval of information from the department's Audit Tracking System (ATS).

  • Answering and directing incoming telephone calls, take messages, etc.

  • Processing incoming and outgoing mail.

  • Formatting audit reports submitted by field personnel for Director/Assistant Director review.

  • After Director/Assistant Director review, processes audit report for Deputy review.

  • Processing audit reports for release from bureau Outlook account.

  • Uploading released audit reports to the Converted Audit Reports (CARs) application.

  • Electronically file released audit reports.

  • Reviewing and updating Commonwealth Property Checklists (CPC) in the CPC database for bureau staff to ensure accuracy, completeness, and compliance with the department's policy and procedures.

  • Archive electronic audit working papers.

  • Duplicates, scans, mails, and files bureau documents as required.

  • Operating and instructing others in the operation of various office equipment, including copier/scanner.

  • Maintaining and ordering bureau supplies.

  • Function as backup for various bureau administrative duties.

  • Assisting with on-the-job training for administrative personnel when needed.

  • Assisting the director, assistant director, audit managers, and administrative officer with special projects as needed.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 8:00 AM to 4:30 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) full-time. You will be required to report to headquarters at least once a week or once every two weeks and also as needed for business operations. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
    • This position is headquartered in the Capital Complex Finance Building; however, employees are allowed to participate in the department's telework program. Employees in this position may be required to report to the Harrisburg headquarters occasionally with only 24 to 48 hours notice. Employees will not be reimbursed for expenses related to that commute, including mileage, tolls, parking, hotels and meals.
  • This position is eligible for student loan forgiveness and provides excellent health, savings, and retirement benefits.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.

Additional Requirements:

  • You must be able to perform essential job functions.
