Site/Office Administrator

We are looking for a talented Site/Office Administrator to join our team at our San Diego facility!

What You'll Do:



  • Serve as a key operational support role for senior leadership across multiple departments including HR, Quality, Customer Service, Supply Chain.
  • Serve as first point of contact for visitors, vendors, and customers.
  • Coordinate meeting rooms, facility usage, and support company events and functions.
  • Manage supply inventories and coordinate ordering of office supplies.
  • Assist with documentation control processes, ensuring proper version control and distribution.
  • Process customer documentation and coordinate information flow between customers and internal departments.
  • Order food and arrange catering for meetings, training, and company events.
  • Support Women of Chromalloy (WOC) and Voice of Customer (VOC) initiatives.
  • Maintain and organize documentation in accordance with FAA and aerospace industry requirements.
  • Verify documentation for ITAR compliance in coordination with HR and export control personnel.
  • Process and manage critical customer and internal documentation.

    What You Bring:

  • 4+ years of administrative experience, preferably in manufacturing, aerospace, or regulated industry
  • Experience with document control systems and processes
  • Excellent organizational skills with strong attention to detail

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong verbal and written communication skills
  • Ability to maintain confidentiality when handling sensitive information
  • Customer service orientation with a professional demeanor
  • Ability to prioritize and manage multiple tasks simultaneously
  • Experience working in a team environment while also being self-motivated

    Preferred Qualifications:
  • Associate's degree in Business Administration, Office Management or related field
  • Experience in the aerospace or aviation industry
  • Familiarity with quality management systems (AS9100, ISO 9001)
  • Experience with ERP systems (SAP, Oracle, Epicor etc.)
  • Understanding of basic quality management principles

    Requirements:
  • High School diploma or equivalent
  • Must be able to read, communicate and understand English
  • Must be a U.S. Person (U.S. Citizen or Permanent Resident) due to ITAR requirements
  • Physical ability to work in an office environment with occasional visits to shop floor
  • Pass pre-employment drug screening and background check
