- Welcome visitors warmly at the front desk, greeting, directing, and announcing them appropriately while utilizing the visitor management system.
- Operate a multi-line switchboard, accurately identifying callers' needs and connecting them to the appropriate contacts.
- Regularly update the incoming call flow guide.
- Ensure office security by monitoring access from the reception desk, issuing visitor badges.
- Assist with scheduling conference rooms and maintaining spreadsheets or documents related to facility functions, including upcoming meetings and space utilization.
- Support meetings and events by coordinating and assisting with room setup, space configuration, and catering arrangements.
- Respond to employee service requests via internal ticketing systems.
- Manage and stock facility-related supplies as needed.
- Receive, sort, deliver, and scan incoming mail and parcels as needed.
Qualifications:
- 1-3 years receptionist experience in a corporate environment
- Able to make on the spot decisions focused on client service
- Must be able to demonstrate resourcefulness and perseverance
- Comfortable communicating across all levels of the business
- Microsoft Office Suite with basic skills in: Outlook, Word, Excel and PowerPoint
- Articulate and communicate in a positive and professional manner to all callers and visitors
- Strong organizational, time management and customer service skills
