Overview if the Position We are seeking a highly organized and experienced Mail Service Site Manager to oversee all aspects of mailroom operations. This role is responsible for supervising staff, optimizing workflows, ensuring service excellence, and maintaining strong client and vendor relationships.
Key Responsibilities:
Develop and document standard operating procedures (SOPs) for mail and package intake.
Analyze PO box usage and provide strategic and design recommendations for optimal mail center functionality.
Collect operational data and prepare monthly performance reports.
Maintain accurate records, files, and a centralized employee database for mail processing, production, and tracking.
Interview, hire, train, and supervise staff; manage performance appraisals and disciplinary actions.
Monitor team productivity and resolve interpersonal conflicts as needed.
Review and update the site Operations Manual regularly.
Educate client staff on available services and ensure customer satisfaction.
Act as primary liaison between the client and mail services team; attend client meetings and provide updates.
Maintain vendor relationships and manage service-level expectations.
Review courier invoices, departmental charges, and manage client chargebacks.
Ensure priority handling and accurate tracking of all incoming and outgoing deliveries, including accountable and messenger packages.
Ensure equipment is maintained in good working order; perform or coordinate key operator maintenance.
Investigate and resolve issues related to lost, delayed, or misrouted packages with clear and timely communication.
Manage inventory and oversee the distribution of office supplies.
Keep the Operations Manager informed of performance metrics, operational challenges, and improvement opportunities.
Perform other duties as assigned.
Qualifications:
Excellent working knowledge of mailroom operations including shipping, receiving, and scanning.
Proficient in administrative tasks, Microsoft Office applications, and various shipping software (USPS, UPS, FedEx, etc.).
Proven leadership skills with the ability to train, motivate, and support team members.
Strong organizational and problem-solving skills; able to manage multiple priorities in a fast-paced environment.
Exceptional written and verbal communication skills.
Excellent customer service abilities, including the ability to handle difficult or escalated situations professionally.
Must be adaptable, detail-oriented, and capable of performing frontline tasks when necessary.
Ability to lift up to 50 pounds.
