Overview if the Position

We are seeking a reliable and detail-oriented Mail Center Specialist to join our team. This role is responsible for handling incoming and outgoing mail and materials, supporting internal departments, and maintaining high standards of customer service and operational efficiency.


Key Responsibilities:


  • Receive, review, document, process, prepare, identify, and deliver incoming mail and materials.



  • Use tracking systems to maintain accurate records of parcels and packages.



  • Pick up, deliver, and transport materials within and between departments.



  • Distribute office supplies and copy paper to designated areas.



  • Inspect incoming deliveries for suspicious or potentially threatening items.



  • Collect outbound packages and materials from internal departments for processing.



  • Sort materials into categories according to established procedures.



  • Prepare materials for shipment or transport.



  • Enter activity data and maintain accurate records and logs.



  • Process outbound courier shipments using company or provider systems (e.g., UPS).



  • Respond to and fulfill work order service requests.



  • Follow all safety procedures and company guidelines.



  • Cross-train in other departmental functions, such as the copy center, and provide backup support as needed.



  • Perform other duties as assigned by management.




Qualifications:


  • High school diploma or equivalent (GED) required.



  • 2-5 years of experience in mail or print services preferred.



  • 1-3 years of experience using Microsoft Office applications (Word, Excel, etc.).



  • Strong attention to detail and ability to perform multiple tasks efficiently.



  • Excellent customer service and communication skills (verbal and written).



  • Ability to work independently and as part of a team.



  • Able to lift up to 50 pounds and operate mail or hand carts.




Preferred Skills:


  • Knowledge of standard office service procedures.



  • A positive, proactive attitude and strong problem-solving skills.



  • Willingness to cross-train and support other roles as needed.
