Overview: The Alaska Operations Assistant Office Manager will support the Office Manager in overseeing various financial and administrative tasks essential to the operational core of Trident Seafoods. This position involves a wide array of responsibilities requiring meticulous attention to detail, effective communication with internal and external stakeholders, and proficiency in financial analysis and reporting. The ideal candidate will possess a strong background in accounting or finance, exhibit excellent organizational skills, and demonstrate the ability to work collaboratively within a team environment. The Assistant Office Manager will play a critical role in ensuring the accuracy and integrity of financial and manufacturing data and compliance with administrative business regulations.

Key Responsibilities:

  • Support Onsite Leadership: Assist in leading and managing the team, fostering a positive work culture, maximizing efficiency, and effectively managing day-to-day office operations to achieve departmental goals and objectives.
  • Facility Accounting/Month End Deliverables: Assist in the reconciliation and on-time delivery of the financial and manufacturing month-end packet to controllers. This includes (but is not limited to) fisherman/tender accounting, fish purchases, sales, taxes, petty cash, fees, check register, expense ledger clearing, manufacturing reporting, etc.
  • Fishermen and Tender Fleet Accounting: Support onsite financial transactional activity, accounting, and reconciliation specific to fisherman and tender vessels including loan maintenance, settlements, fish purchases, taxes, fees, etc.
  • Fish Purchases/Government Reporting: Ensure timely and accurate reporting and accounting of fish purchases via defined government processes and cadence.
  • Accounts Receivables: Assist in the administration and monitoring of outstanding balances owed for products or services. This entails invoicing, recording payments, pursuing overdue accounts, and discrepancy reconciliation ensuring prompt payments.
  • Manufacturing Reporting/Shipments: Support the team to ensure timely and accurate flow of manufacturing data to key business stakeholders. Assist in ensuring accurate daily reporting of production and product shipments from the local shop floor system into SAP S/4 HANA.
  • Inventory Management: Conduct month-end physical fuel and store inventories, reconciling with plant use and valuations. Reconcile store and fuel inventory accounts, ensuring accuracy in point-of-sale cumulative totals.
  • Petty Cash Management: Conduct physical cash counts and reconcile with petty cash account balances. Prepare and send documentation, including petty cash count sheets, logs, and receipts to the plant controller. Identify and review discrepancies with accounting management for resolution.
  • Compliance: Ensure compliance with industry standards and regulations related to buying, selling, financial transactions, price adjustments, tax information, and risk management.

Additional Responsibilities:

  • Assist in establishing and implementing contingency plans to ensure business continuity.
  • Collaborate with internal departments including finance, operations, fleet experience, supply chain, IT, global logistics, and sales to ensure seamless coordination and communication between teams.
  • Establish strong working relationships with key stakeholders to understand their needs and address operational challenges.
  • Provide guidance and mentorship to team members to ensure professional development and growth.
  • Stay abreast of industry trends and advancements to drive innovation within the operations function.
  • Other duties as assigned.

***Travel Expectations***

This position requires travel to company site in our Alaska Operation within the assigned region.

Travel expectations may vary depending on business needs, however, candidates should anticipate spending up to 40-60% each year in Alaska.

This travel engagement may last for 4 months spanning up to 6 months with an exclusive PTO benefit for up to 1 month offsite when in Alaska and or during the season;

Minimum Requirements

Minimum Qualifications.

  • 3 years of account management experience, preferably within the Alaska fishing industry.
  • At least 1-3 years' experience working within ERP systems (experience with SAP Fiori strongly preferred).
  • High school diploma or general education degree (GED)

Preferred experience

  • Experience with NorthScope, Innova, MSG SoftProviding software.
  • In-depth knowledge of the seafood processing industry, particularly in Alaska or similarly challenging environments strongly preferred.
  • Demonstrated success in process optimization and performance improvement.
  • Experience in budget development and management.
  • Proficiency in accounting principles and practices.
  • Prior leadership skills with the ability to inspire and motivate a team.

Work environment (includes travel/on-call):

The noise level in the work environment is usually moderate.

Physical demands:

While performing the duties of this job, the employee is regularly required to stand; walk; use hands to finger, handle, or feel and reach with hands and arms. The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl and talk or hear. The employee must regularly lift and /or move 10 to 15 pounds.
