Position Overview:

The Project Administrator provides essential support to the Operations teams by combining project coordination duties with administrative and front office responsibilities. This role serves as a central point of contact for internal staff, clients, and visitors, ensuring that project documentation is organized and office operations run smoothly. The ideal candidate will be detail-oriented, proactive, and capable of managing multiple priorities in a dynamic, professional environment.

Primary Responsibilities:

  • Provide administrative support to the office business line leads.
  • Gather project financial data and assist in preparing forecasting and reporting documents.
  • Assist the business line leads on accounts payable.
  • Assist the business line leads on creating project opportunities utilizing CRM.
  • Serve as office receptionist; greet visitors, manage phone calls, and respond to general inquiries.
  • Maintain a professional and welcoming reception area and common office spaces.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Order and stock office supplies and keep inventory organized.
  • Coordinate staff travel arrangements, assist with calendar updates, and support company event planning.

Minimum Qualifications:

  • High School Diploma or GED required; Associate degree preferred.
  • 2-3 years of administrative or project support experience, preferably in architecture, engineering, or construction.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); familiarity with Vantagepoint, SharePoint and Microsoft Teams is a plus.
  • Strong verbal and written communication skills with a customer service mindset.
  • Excellent organizational, multitasking, and time management abilities.
  • Comfortable interacting with staff at all levels and working both independently and collaboratively.
  • Basic understanding of project documentation, file management, and clerical procedures.
