General Responsibilities |
Provide administrative, clerical, registration, and data support to the
ELC, World Languages, and Adult Basic Skills staff and instructors. Provide accurate and consistent support to all students, faculty, and staff. Assist with all aspects of the registration process. Assist with student data entry and correction. Support organizational excellence by ensuring instructors have all necessary information and supplies. Participate in testing new system releases and communicate changes to the department. Assist with resolving Colleague-related issues and other special projects as needed. |
Work Performed |
Registration & Data Duties:
- Perform records and registration functions, including registration, transfers/drops, address/biographical updates, and grade inputs/changes.
- Initiate planning and preparation of scheduled registration sessions, including room set-up, ordering supplies, and updating registration materials for advisors.
- Work with the Registration and Business Office staff to resolve all registration, payment, and refund issues. Troubleshoot online registration issues for students.
- Assist with data collection and error corrections for MHEC FTE report.
- Participate in Colleague and Perceptive Content testing for system changes.
Program Support:
- Manage operations of the reception area including mentoring front-desk staff and coordinating clerical workflow for the office.
- Maintain and update records and checklists for all courses and programs, including Start-Up and End-of-Semester documents.
- Manage communication with faculty including maintaining email distribution list and mailbox assignments.
- Prepare and distribute class rosters, track faculty submission of NA students and roster corrections and update Colleague as needed.
- Oversee course evaluation process, including preparing form/links, distributing, monitoring, and collecting data. Work with PROD to create final retention report.
- Oversee advising report process, including preparing forms, distributing, monitoring, and collecting data.
- Collect, scan, and maintain registration/transfer forms, advising sheets, and all paperwork related to EI students using Perceptive Content.
- Serve as first line of communication to students including answering questions and communicating classroom/course/program changes.
- Work with students to resolve unpaid balances.
- Assist with marketing efforts, including generating email/address lists and update campus monitor/website.
- Generate enrollment verification letters and certificates for students as needed.
- Maintain good working order of all office equipment and furnishings and monitor office supplies.
- Maintain office files to include all types of administrative forms.
- Serve as a back-up proctor for ACTFL testing.
- Provide other clerical and administrative support when needed for Languages and Culture.

- AA required; BA or BS preferred.
- Minimum three years of office experience.
- Customer service experience in a fast-paced office environment with an ability to respond quickly, efficiently, and independently to a variety of situations.
- Ability to identify, research, and resolve issues effectively.
- Attention to detail and strong organization skills
- Ability to prioritize and manage time to meet deadlines
- High proficiency with Windows operating system and Microsoft Office (Outlook, Excel, Word, and PowerPoint)
- Excellent communication skills, both oral and written.
- Experience working with foreign-born population. Bilingual is strongly preferred.
- Experience with data management system to run and analyze reports.
- Experience in maintaining strict confidentiality and ensuring data integrity.
- Experience with office equipment, such as desktop computer, scanner, printer, and copier.
- Experience in management preferred.
OTHER
REQUIREMENTS
- Regular attendance is a requirement of this job.
- Regular evening and some weekend attendance is required.
- Performs all duties while considering the impact of any action on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.
