About the Position

The Employment Services Administrative Clerkposition provides a variety of general clerical and administrative support duties for the Employment Services Section of Human Resources. Tasks performed are general in nature but require a high degree of confidentiality. Employees at this level receive instruction or assistance as new or unusual situations arise and may be required to interpret Office operating procedures and policies.

Position Qualifications

Education

  • High School Diploma or GED.

Experience

  • One (1) year clerical experience or Human Resources experience.

OR

Combined education, experience, training qualifications

  • A combination of education and experience may be considered in substitution for the minimum qualifications.

Our Preferred Candidate has

  • Administrative/clerical experience in a human resources environment.
  • Experience handling/processing a high volume of confidential paperwork and data.
  • Intermediate to advanced experience using Microsoft Office Suite.

Other requirements:

  • In order to be considered for employment with the Maricopa County Sheriff's Office, successful candidates must not have a revoked or suspended driver's license.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass a background review.

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned. List in order of importance)

  • Handles front desk receptionist duties and coverage.
  • Prepares, types, and proofreads routine forms, letters or memorandum.
  • Enters and tracks computer database applications.
  • Performs routine clerical work including filing, verifying and recording information.
  • Provides customer service via telephone, email, and in person for public and other County employees.
  • Files and disseminates correspondence, reports, and mail.
  • Acts as the contact for greeting and/or directing employees, visitors, and the general public.
  • Handles continuous inquiries for staff members.
  • Compiles and maintains data for statistical reports.
  • Collects and distributes all incoming/outgoing mail on a daily basis.
  • Assists with some aspects of processing post-employment matters such as new hire paperwork to include I-9s/E-Verify and employee orientations.
  • Completesaddress, name, dependent(s), and marital status changes.
  • Assists with division inventory and supply orders.
  • Assists with the issuing of County bus cards and carpool stickers.
  • Completes work related errands to variouscounty departments, MCSO facilities and to vendor locations that will require walking at least 3 to 4 block distance from the worksite and driving a county vehicle for distances that will vary depending on the location.
  • Performs other related duties as assigned.
  • Handles additional duties or special projects as assigned by supervisor or Team Leader.
  • Is present at the work site to perform all assigned duties that are scheduled and/or assigned by the supervisor.

**The job tasks for this position are in-Office/on-site. Teleworking is not available.

Work occurs primarily indoors, but outdoor tasks are included due to work related errands. Tasks require manual dexterity of hands and body to operate office equipment as well as managing frequent interruptions, time pressures, and high work volumes. This job includes team-oriented activities and interaction with all levels of MCSO, County management and personnel as well as the public. Responsibilities require concentration, accuracy, ethical conduct and a professional demeanor.

  • Conditions may include stairs or ladders/steep stools, dim lighting, or bright lighting.

  • Handle and process a large volume of confidential materials.
  • Take and/or transcribe oral dictation.
