How you will make history here... The Executive Assistant performs advanced, diversified, and confidential administrative support to 4-6 Vice President/Senior Directors of the Meals & Beverage Research & Development Leadership Team. This position provides advanced administrative support requiring discretion, comprehensive skill and knowledge of the department and organization. Location: HQ office in Camden, NJ 3 days a week (hybrid). What you will do... *Directly supports the Vice Presidents and Senior Directors of the R&D Leadership team with administrative activities including calendar management, travel arrangement and expense reporting using Concur, meeting document preparation, etc. *Onboard support for all new hires/transfers including equipment set up, cube assignment, first day schedules, training, meetings with new team members. *Onboards contingent workers and terminates access upon conclusion. *Creates and receives Purchase Orders (POs) using Ariba or SAP, including budget tracking. *Prepares MS PowerPoint presentations for various R&D Leadership Team meetings as required. *Arranges R&D meetings and conferences, prepares and distributes agendas, reserves and prepares facilities for local and webcast meetings. *Organizes and maintains electronic record and file systems. *Maintains the M&B R&D department organizational charts. *Maintains office equipment; arranges for equipment repair and maintenance; orders office supplies. *Assists in project work to include coordinating projects, gathering necessary data from leaders and team members, and creating report presentations for town halls and quarterly project meetings. *Manages cubicle seating requirements for all Camden based M&B R&D team members. *Coordinates work processes and project requirements for NDA's, DocuSign, Safety Training and related systems to support the M&B R&D Leadership team. *Organizes and prioritizes workload and meets deadlines; ability to multi-task is essential. *Serves as a member of CAPs teams/Tech Coordinator for R&D. Who you will work with... Key members of the R&D leadership team. What you bring to the table... High school Diploma required; associate degree, bachelor's degree preferred; minimum 7 years related experience supporting executive and senior leaders. It would be great if you have... *Ability to support multiple individuals (including LT direct reports) with diverse requirements and adaptability to changing priorities and needs of the team. *Must be able to exercise discretion while managing confidential information in a professional manner. *Ability to interact with various levels within the organization. *Strong organizational and multi-tasking skills, written and verbal communication skills. *High attention to detail and accuracy with the ability to coordinate complicated tasks like event planning. *Advanced knowledge of Microsoft Office software to include Outlook Teams, PowerPoint, Excel, and Word. Knowledge of SharePoint, SAP, Ariba and Concur preferred. *Embraces technology and is a proactive and digital thinker, always looking for ways to streamline work and tasks. *Excellent time management and skilled in independently prioritizing tasks. *Displays a professional confidence and tenacity to achieve tasks and objectives. *Previous experience in a technical or research environment preferred. Compensation and Benefits: The target base salary range for this full-time, salaried position is between $74,200-$106,700Individual base pay depends on work location and additional factors such as experience, job-related skills, and relevant education or training. Total pay may include other forms of compensation. In addition, we offer competitive health, dental, 401k and wellness benefits beginning on the first day of employment.
