Job Summary:



Marist University invites applications for the position of Manager, Marist Mail & Package Services in the IT Department. This position manages and supervises the daily operations of Marist University Postal Service and maintains up-to-date mail service, meeting all federal regulations and acceptable levels of customer service.



Minimum Qualifications:




  • An Associate's degree in a related field and five to eight plus years' experience working in a Post Office/Mailroom setting.
  • A valid driver's license with no serious convictions or the ability to obtain one.
  • The ability to work in a rapidly changing technological and team-oriented environment is essential. Excellent customer service and communication skills a must.
  • Lifting Requirements:

    • Heavy work: exerting up to 100 pounds of force occasionally, and/or up to 50 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects.





Essential Functions:




  • Mailroom Operations and Workflow Management - Direct and control all mailroom activities, including sorting and delivery of incoming mail and packages from USPS, UPS, FedEx, Amazon, DHL, and other vendors. Oversee the daily processing of up to 800 packages, ensuring timely and accurate delivery to 3,500 resident students and 60 campus offices serving 1,200 faculty/staff. Maintain a strong on-the-floor presence, especially during peak periods, to monitor workflow and support staff.
  • Recruit, hire and train all Mail and Package center staff which include one assistant manager, four full-time CWA staff and twelve student workers. Schedule staff to ensure proper coverage especially during peak seasons. Maintain accurate time records and approve all time sheets. Promote a culture of accountability and empowerment through effective delegation and open communication. Support and collaborate with the Assistant Manager to ensure smooth daily operations.
  • Serve as the primary liaison with department heads and offices, advising on efficient mailing methods and timing. Address and resolve a wide range of service issues, including lost packages, special requests, and vendor inconsistencies. Respond to student inquiries, including those received after hours and on weekends
  • Implement and manage software systems such as ScLogic and Pitney Bowes SendPro for package tracking, virtual mailboxes, and digital recordkeeping. Monitor system performance and troubleshoot issues to ensure operational efficiency. Stay informed about emerging technologies and lead initiatives to modernize mailroom processes.
  • Manages departmental budget covering postage, supplies, and equipment. Reconcile invoices from shipping vendors (UPS, DHL, USPS) and manage cash flow from retail sales. Submit monthly financial reports to the Business Office detailing departmental postage and shipping charges. Analyze trends in annual package volume growth to forecast future needs.
  • Maintain strong working relationships with domestic and international shipping vendors. Navigate complex shipping requirements, including international tariffs and delivery uncertainties. Monitor vendor performance and address service quality issues proactively.
  • Ensure compliance with postal regulations and institutional policies. Maintain accurate records of all package transactions and departmental activities. Prepare and present operational and financial reports as required.

    • Up to 16 undergraduate credits per semester. Up to 18 graduate credit per academic calendar. Eligibility extends to employee, spouse, and dependent children under age 26.
    • University pays 100% tuition only.
    • Eligible dependents may be Reimbursed up to $2,000 per semester towards tuition at another accredited institution.
