Administrative Assistant ID: 2025-2150 Category: University Advancement Type: FLSA Status: Non-Exempt Benefit Eligible: Benefit Eligible Location: St. Paul, Minnesota Office Location: Anderson Center Job Summary Our Administrative Assistant provides administrative and event support for the University Advancement team, with a focus on alumni, parent, and donor engagement. Responsibilities 1. Administrative Duties - 50 % a. Provides administrative clerical support for assigned managers and directors. b. Processes and obtains necessary approvals for expense reports, maintaining financial accuracy and accountability c. Reviews, approves, and monitors various invoices to support efficient financial operations. d. Approves and tracks various invoices. e. Tracks and approves department and manager/director bills. f. Acts as backup for other Administrative Assistants. g. Maintain departmental inboxes and voicemail accounts including Development, Alumni, Parents and University Relations h. Other duties as assigned 2. Department Specific Duties: Events and Engagement - 50 % a. Support the planning and execution of events that engage key university audiences, including donors, alumni, parents, and families. b. Assist with event logistics such as tracking and follow up on RSVPs, packing supplies for events, preparing name tags, coordinating supplies, and managing event setup, check-in, troubleshooting, and teardown. c. Serve as a point of contact before, during, and after events to ensure a welcoming and responsive experience for attendees. d. Maintain accurate event and engagement records in the university's database, helping track participation, giving, and volunteer activity. e. Contribute to post-event follow-up, including stewardship efforts and evaluation of event outcomes. f. Collaborate with colleagues to manage timelines, budgets, and continuous improvement of event strategies. g. Monitor and manage inventory of event-related materials, including promotional items and supplies, and coordinate ordering as needed to ensure timely availability. Additional Information Travel: This position may require minimal travel. Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. Specific vision abilities required by this job include close vision and ability to adjust focus. The job requires extended periods of sitting and traversing the Bethel Campus on a regular basis. Must be able to perform physical tasks associated with event setup, including lifting and carrying items up to 35 pounds, climbing ladders, and occasional kneeling. Expected Hours of Work: Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. Occasional evening and weekend work is required to support events and programs outside of normal business hours, as job duties demand. This is a 40-hour-per-week, 12-month-per-year position.
