Job Summary

The Facilities Coordinator is responsible for ensuring the smooth operation and maintenance of the client's buildings and infrastructure. This role involves coordinating repairs, managing vendor relationships, maintaining compliance with health and safety standards, and supporting day-to-day facilities operations.

Key Responsibilities:

A minimum of 4 years of experience

* Serve as the primary point of contact for all facility-related issues and service requests.
* Coordinate services requests: Furniture, Janitorial, Pest Control, Document destruction, Interior and Exterior horticultural services.
* Monitor and manage facilities service contracts, including cleaning, Concierge Services, pest control, horticulture, Holiday decorations and landscaping vendors.
* Oversee mailroom operation, support the shipping and receiving team
* Ensure facilities comply with local safety, environmental, and building codes and regulations.
* Maintain records of maintenance activities, service reports, and inspections.
* Assist with budgeting and cost control for facility-related expenses.
* Work closely with internal departments and external contractors to ensure timely and effective facility services.
* Administrative duties: Billing, AP invoices, Vendors COI's submission, other business request forms.

Requirements:

* Proven experience in facilities coordination, property management, or a related field.
* Strong organizational and time-management skills.
* Ability to manage multiple tasks and projects simultaneously.
* Excellent communication and interpersonal skills.
* Familiarity with building systems
* Proficiency in MS Office
* Knowledge of health and safety regulations and building codes
* Support with small internal staff moves; must be able to carry at most 50 pounds.
* Experience with Soft Services to include Janitorial
* Excellent written and verbal communication skills
* Client Relations and Customer Service Oriented
* Team leadership Abilities; Development and Relations
* Planning, Organization & System Know-how

Preferred Qualifications:

* Associate's or bachelor's degree in Facilities Management, Business Administration, or a related field is preferred
