Position Summary:

Applied Training Solutions, LLC is seeking a qualified Finance Administrative Specialist to assist the Finance Section Chief in performing administrative and clerical duties. This role supports the maintenance of financial records, the acquisition and prioritization of financial data, and accurate documentation through note-taking during meetings and operational briefings.

Key Responsibilities:



  • Support the Finance Section Chief in managing daily administrative and clerical operations
  • Maintain and organize financial documentation, reports, and records
  • Acquire, organize, and prioritize financial information to support incident operations
  • Take accurate and timely notes during meetings, briefings, and finance-related discussions
  • Assist in preparing financial reports, cost tracking documents, and internal communications
  • Coordinate with section staff to ensure administrative and financial continuity
  • Support scheduling, document preparation, and follow-up for finance-related meetings
  • Track task assignments and ensure timely completion of administrative items
  • Maintain confidentiality and manage sensitive financial and operational data


Basic Qualifications:



  • 1+ years of work experience in the role with an entry-level financial background, providing administrative or clerical support in a financial, emergency management, or operational setting
  • Strong organizational and multitasking skills
  • Proficiency in Microsoft Office Suite and financial documentation tools
  • Excellent written and verbal communication skills
  • Ability to take clear, concise, and complete notes in high-paced environments
  • Must be a U.S. citizen


Preferred Qualifications:



  • Experience supporting financial operations in an ICS or EOC structure
  • Familiarity with FEMA financial forms and documentation processes
  • Experience with cost tracking and reporting tools
  • Knowledge of emergency management financial procedures and terminology

Working Environment:

The usual work environment is an office or EOC setting at a location determined by assignment. The role may involve occasional lifting of computers and equipment (generally not exceeding 50 lbs.), typically in connection with off-site transport. Travel regularly includes locations throughout the continental United States and its territories. Duties may involve extended work periods beyond 12 hours per day, work in outdoor/austere conditions, and prolonged driving to work sites.
