Position Summary

This position is assigned to the Front Desk and is responsible for performing receptionist, clerical, and administrative duties in an office setting. Provides support by sorting mail, answering phones, greeting clients, controlling building access, entering data & creating reports (including, but not limited to: expenses, time & labor, and safety).


Duties And Responsibilities
  • Utilize proper telephone etiquette, forward calls to requested individuals, record and deliver incoming messages for personnel who are not available. Accord proper personal greetings and hospitality to visitors. Make building-wide announcements via the loudspeaker. Update company voicemail as needed (including, but not limited to: holiday and weather related closures). Answer inquiries about the company.
  • Control access to the building by vetting visitors against access logs and issuing the proper badges/escorts. Update access logs as issued by Security. Inventory badges daily and advise Security immediately of any missing badges to ensure building security.
  • Perform data entry. Create reports and presentations.
    • Enter, submit, and track employee expense reports.
    • Enter/update employee timesheets as needed.
    • Enter monthly safety data and compile reports.
    • Create PowerPoints for the employee information slideshows.
  • Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and postage machine. Troubleshoot malfunctioning office equipment.
  • Sort and distribute incoming mail.

Qualifications
  • High School diploma/GED or equivalent.
  • Verbal Comprehension - the ability to listen to and understand information and ideas presented through spoken words and sentences.
  • Verbal Expression- the ability to communication information and ideas in speaking so others will understand.
  • Written Comprehension- the ability to read and understand information and ideas presented in writing.
  • Speech Clarity- the ability to speak clearly so others can understand you.
  • Written Expression- the ability to communicate information and ideas in writing so others will understand.
  • Working knowledge of Microsoft Office (Word, Excel and PowerPoint).
