I. JOB OVERVIEW






Job Description Summary:
The Department of Biological Sciences seeks to fill the Senior Academic Department Administrator position at Bell Hall. This position supports the activities of the departmental operations which include: front desk duties, scheduling, meeting planning, office supply inventory and ordering, facilities building requests, creating purchase orders in EAS, invoice payments, and travel arrangements and purchasing for departmental faculty, expense reporting for departmental faculty, student services support for department's graduate students, support for educational activities as well as other departmental related projects. The position reports to the Academic Department Administrative Supervisor.

This senior administrative support position provides enhanced administrative support to an academic department. This role is a key contributor to providing high-quality customer service to meet the academic needs of the faculty and students. This position reports to a Faculty Department Chair. This position may supervise an office assistant and/or temporary staff and student workers.

Core responsibilities:

  • Manage the daily operation of an academic department within a school or college, primarily in the areas of compliance and financial management. Order supplies for the Bell Hall office and professors.
  • Represent the department on business affairs and/or faculty affairs to the institution community. Collecting and processing of graduate student awards, including the departmental newsletter.
  • Develop and prepare budgets and financial reports for grants, general appropriations, endowments, and other funds, and coordinate and participate in a variety of human resources activities, such as coordinating and initiating recruitment efforts and the department's monthly newsletter.
  • Provide input into non-technical portions of grant and contract proposals and assists with research recruitment efforts, managing the hiring process for all faculty (full-time, adjunct and visiting scholars), temporary staff and students, including onboarding to the department.
  • Support and address faculty classroom needs, including acquisition of textbooks and compiling course materials, and liaising with and assisting faculty with academic and administrative matters, such as administrative aspects of course and curricula preparation.
  • Participates in monthly school-wide meetings for administrative managers, and may supervise a small staff of non-exempt employees and/or students. Serve as the administrative subject matter expert for the department.
  • Manage hiring and timekeeping for all department student workers and support Professors and Graduate students in Bell Hall with ordering, copying, hiring, and submitting FixIts for Maintenance Issues.


This position performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:

Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
Preferred Qualifications:

  • Experience preferably in an academic or higher education setting, with demonstrated experience in office management, budgeting, purchasing, and faculty/student support.

  • Proficiency with financial systems and administrative software tools, such as enterprise accounting systems (e.g., EAS), Microsoft Office Suite, and other institutional platforms used for travel, procurement, and HR functions is desired.

  • Strong organizational and communication skills, with the ability to manage multiple tasks and priorities simultaneously, interact effectively with faculty, students, and staff, and provide high-level customer service in a fast-paced academic environment.

Hiring Range $51,455.52 - $70,708.76
