Penn State College of Medicine Student Affairs Staff Position

Position Overview:
The Student Orientation Specialist for the Office of Student Affairs plays a pivotal role in supporting the educational mission of the medical school for MD and PA students. This position supports a wide variety of programs and resources that enhance student experience and development, including career planning & preparation, support for clubs and organizations, advising services, student mentorship & wellness programs, and administrative support for our Associate Dean of Student Affairs and Assistant Dean of Student Affairs. This position provides assistance to all non-curricular aspects of medical school education for PA and MD students including student engagement and wellness activities, major events and milestones such as orientation, the white coat ceremony, Match Day, the graduate awards celebration, and graduation. This position plays an essential role in student advocacy, career support, and overall student services administrative support.

The Student Orientation Specialist is responsible for effective communication across Penn State Health and College of Medicine systems, having an in-depth understanding of student affairs & support services, and working as a collaborative team member with the student affairs team. This position also collaborates with multiple stakeholders including units across Educational Affairs, Photography, Office of Safety, IT, Student Health, Admissions, Alumni Affairs, Facilities, Environmental Health Services, and Senior Leadership. Due to the variability of Leadership & student schedules, this position needs to be familiar with different technologies to effectively communicate and support student affairs on multiple platforms.

Key Responsibilities:

  • Recommends policies, practices, and procedures that have a significant impact on student services provided at the Office of Student Affairs at the College of Medicine.
  • Under the administrative direction of the Associate Dean of Student Affairs & Assistant Dean of Student Affairs implements projects and programs designed to foster student success.
  • Effectively & efficiently manages student appointments, meetings, and general office requests.
  • Monitors, processes, and tracks financial transactions including Student Affairs purchases, student organization requests, reimbursements, & fundraisers, and other student requests including UWorld, College of Medicine Med Gala, and White Coat Orders.
  • Assists the Student Affairs team on all milestone events, student wellness & engagement activities, and career support services.
  • Serves as the liaison between MD & PA students and the Associate Dean of Student Affairs & Assistant Dean of Student Affairs.
  • Manages the Medical Student Performance Evaluation (MSPE) process in all phases of planning and execution, including updating MSPE letters, pulling student information, scheduling MSPE meetings, & uploading individual student MSPE documents to the correct corresponding application platform.
  • Provide administrative oversight on inducting students into Alpha Omega Alpha (AOA), student locker assignments & clean out, student medical clearances, room reservations requests, facilities requests & work orders, and general office maintenance.
  • Oversee Medical Student Absences for Phase I MD students. Review submitted requests, cross compare to the academic calendars, and approve or deny requests as necessary. In conjunction with the Associate Dean of Student Affairs, review all special consideration requests and notify the student of the outcome accordingly.
  • Manage and schedule the College of Medicine Emergency Contact list and Call schedule.
  • Update and Assign MD students to our clinical liaisons for our Penn State Health Divisions. Updates and disseminates list to the appropriate stakeholders.
  • Support the Student Affairs Team in weekly meetings and attends the Educational Affairs monthly meetings.
  • Support the student conduct process
  • Perform other duties as assigned.
  • Demonstrated ability to work independently and on a team.
  • Strong organizational, communication, and problem-solving skills.

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

Bachelor's Degree No prior relevant work experience required; previous relevant work experience accepted in lieu of education. Required Certifications: None

BACKGROUND CHECKS/CLEARANCES

This position requires the following clearances in addition to applicable background checks: PA State Police Criminal Background Check, PA Child Abuse History Clearance Form, and Federal (FBI) Fingerprint Criminal Background Check. Penn State does not sponsor or take over sponsorship of a staff employment Visa. Applicants must be authorized to work in the U.S.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $46,400.00 - $67,300.00.
