About the Position

The Administrative Specialist Senior provides highly responsible and complex administrative, operational, and functional support within the Court Implementation Division of the Maricopa County Sheriff's Office. This position plays a significant role in assisting the Office with compliance for multiple processes related to the Melendres Order, and may interact with the general public, other law enforcement entities, attorneys, County offices, and employees.

POSITION QUALIFICATIONS

Minimum education and/or experience:

  • High school diploma or GED;
  • Three (3) years of progressively responsible administrative experience.

Combined education and experience qualifications:

  • An equivalent combination of education and job-related experience may substitute for the minimum qualifications on a year for year basis.

Other requirements:

  • Must possess a valid Arizona driver's license or have the ability to obtain by the time of hire.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass an extensive background review

Preferred education and/or experience:

  • Associate's degree or higher education
  • Experience working with Microsoft Word and Excel

ESSENTIAL JOB TASKS

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned. List in order of importance)

  • Audits complex sensitive forms, letters, memorandums, and incident summaries housed in the Early Identification System.
  • Conducts quality assurance for data entered into the Early Identification System (EIS), including BlueTeam, and Traffic Stop Analysis Review (TSAR) systems.
  • Administers programs and processes specific to the Bureau and serves as subject matter expert for managers and employees.
  • Enters data into the Early Identification System (EIS), assigns entries for follow up by managers/employees as needed, and reviews final entries for accuracy.
  • Maintains files and databases incorporating complex data, and prepares reports, forms, and correspondence of highly confidential nature.
  • Completes Legal Liaison Preservation and/or Production Requests.
  • Interprets and provides information regarding MCSO's Policies and Procedures; and the Maricopa County Administrative Manual.
  • Supports County Attorney with review of cases declined or furthered for prosecution and enters in database.
  • Performs highly responsible and complex administrative support independently and with minimal guidance.
  • Prepares meeting agendas and presentation materials, takes and transcribes meeting minutes, and prepares summaries for distribution.
  • Provides customer service in person, via email and telephone with the general public, other law enforcement entities, attorneys, County offices, and employees of MCSO.
  • Schedules and coordinates meetings and conferences.
  • Assists with monitoring, preparation of budget data, performs statistical analysis and prepares reports.
  • Provides assistance with purchasing, accounting, and personnel functions for the Bureau.
  • Directs workflow and participates in special projects and programs as assigned.
  • Assists with payroll functions within the ADP payroll system.
  • Acts as effective liaison with Sheriff's Office personnel, other County departments, law enforcement, and the general public.
  • Resolves complaints and/or problems for difficult issues and determines when to appropriately escalate to command.
  • Compiles monthly reports/records for the Bureau.
  • Provides training support for managers/employees on varied systems and travel requests, and works directly with the MCSO Travel Coordinator.
  • Performs a variety of other duties as assigned.
  • Provides basic deliveries to other County agencies as needed.
  • Be present at the work site to perform all tasks as scheduled and/or assigned by the supervisor.

Working conditions:

Work occurs primarily indoors. Tasksrequire ability to work with interruptions and time pressures and may include interaction with all levels of County management and personnel as well as the public. Responsibilities require concentration, accuracy, ethical conduct and a professional demeanor.

SELECTION PROCEDURE:

The hiring authority will select the successful candidate based on departmental needs.

All offers of employment made to new hires and rehires at Maricopa County are contingent upon successful completion of a post-offer, pre-employment thorough background investigation and polygraph. A background investigation and polygraph will be conducted on any current employee who changes to a Safety Sensitive Position or one having the potential for serious adverse impact on the integrity or efficiency of the County. These requirements do not pertain to employees of elected officials who undergo background investigation processes administered through their respective offices.

Typically successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
