About the Opportunity

The Program Coordinator for the Media Innovation Center (MIC) is housed within the Reed School of Media and Communications in the College of Creative Arts and Media (CCAM) at West Virginia University. This position reports to the School of Media and Communications Director and plays a key role in advancing the operational, academic, and strategic innovation goals of the MIC.
The coordinator serves as a central facilitator of daily operations, instructional support, event planning, and outreach efforts, fostering an inclusive, collaborative, and innovation-driven environment. Working closely with faculty, students, staff, and external partners, the Program Coordinator ensures that the MIC remains a vibrant, interdisciplinary space for media education, experimentation, and community engagement.

What You'll Do

Daily Operations & Facility Management



  • Manage day-to-day operations of the MIC, including scheduling of rooms using the university's online scheduling platform, maintenance of space and equipment, and inventory control.
  • Ensure users in the space can access equipment, software, and space effectively and safely, while also offering guidance on best practices, troubleshooting technical issues, and fostering an inclusive, collaborative environment for creative expression and learning.
  • Schedule and lead tours and accommodate drop-in tours for prospective students and their families, serving as a key ambassador for the MIC, supporting student recruitment efforts through engaging, informative, and welcoming experiences.
  • Maintain a comprehensive and up-to-date master calendar of MIC space usage, prioritizing academic and co-curricular offerings while also accommodating event needs.
  • Serve as the initial point of contact for all inquiries into the MIC, including internal and external stakeholders.
  • Coordinate event scheduling and facility needs with Facilities, IT, and external vendors as needed for resolution and improvement.
  • Adhere to the financial budget for MIC facilities, technology, programming, and activities.
  • Serve as MIC's primary point of contact with the Evansdale Crossing facilities team.


Academic & Classroom Support



  • Work with School of Media & Communications Director to coordinate classroom scheduling for MIC instructional spaces to meet curricular needs.
  • Provides essential support to students and faculty utilizing the MIC classrooms and labs and creative spaces. The role involves assisting users with a variety of projects, including podcast production in the recording studio, photo and video editing in the computer lab, and multimedia uses and innovation-based work.
  • Provide in-class support for faculty, including troubleshooting audiovisual tools, instructional software, and specialized lab equipment.
  • Anticipate instructional needs and work with necessary faculty and staff to ensure pedagogical goals.
  • Maintain instructional space in manner conducive to an innovative learning environment.


Program & Event Coordination



  • Assist with planning, coordination, and execution of a variety of high-profile and public-facing events at the MIC, including lecture series, panel discussions, student showcases, and industry workshops. Serving as a contact for guest speakers, creating visitors' schedules and assisting with travel arrangements as needed.
  • Collaborate with other units in the CCAM and at the university-at-large to host events at the MIC.
  • Work proactively to ensure all logistical details are performed and properly executed for events (e.g., catering, photography, webcasting, room scheduling, facility needs, promotion and travel for speakers).
  • Assist with production of promotional materials for events.
  • Maintain and update databases of contacts at the MIC, including alumni, guest speakers and industry partners.
  • Specifically in 2025/2026, play a major role in planning and launching the MIC's ten-year anniversary programming.


Event Rental Administration



  • Develop and maintain relationships with internal and external units to generate new business and to foster repeat rental engagements at MIC.
  • Serve as primary point of contact for inquiries regarding use of MIC.
  • Collaborate with others in the CCAM Production & Facilities office to plan and execute events at the MIC.
  • Provide rental cost estimates and negotiate terms with renters as needed
  • Issue final invoices following rental events and communicates as needed with CCAM Business Office to process payment(s).


Student Staff Supervision



  • Recruit, train, schedule, and supervise undergraduate work-study students responsible for supporting events, operations, and general logistics.
  • Coordinate student staffing for MIC events, workshops, and daily operations, ensuring effective coverage and performance oversight.


Work Environment:

This position is based at the Media Innovation Center (MIC) in Evansdale Crossing, WVU's premier facility for interdisciplinary media innovation, creative collaboration, and experiential learning. The MIC houses digital studios, flexible classrooms, production labs, and gathering spaces that support WVU's forward-thinking approach to media and communication education. Occasional evening or weekend work may be required for events or academic support.

Qualifications

  • Masters's degree in Journalism, Marketing, or Public Relations required.
  • A minimum of two (2) years of experience in the following:

    • Administrative coordination, event planning, or academic program support.
    • Communications, marketing, or public relations.


  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills, & Abilities



  • Exceptional communication and writing skills.
  • Ability to work independently with minimal supervision, as well as collaboratively across interdisciplinary teams.
  • Strong project management and organizational abilities; experience handling multiple simultaneous deadlines.
  • Willingness to learn AV equipment, digital signage systems, and presentation technology; ability to troubleshoot classroom and event tech setups.
  • Preferred ability to supervise and mentor students in a collaborative, professional setting.
  • Comfort working in a dynamic, fast-paced academic environment that requires flexibility and independent decision-making.
  • Excellent interpersonal skills; ability to work effectively with faculty, students, staff, alumni, and external partners.


Preferred Qualifications



  • Experience with teaching, classroom or faculty support and/or with student supervision.
