What's the Opportunity?

Anchor QEA is seeking a highly experienced, dynamic and strategic Conference and Events Producer to lead the development and execution of a comprehensive conference and event strategy that enhances our market presence and strengthens our position as an industry thought leader. This role reports directly to our Director of Client Experience and is pivotal in shaping and delivering high-impact internal and external events-including industry conferences, client workshops, and corporate gatherings-that amplify our brand, foster client engagement, and drive business growth.

As the architect of our event strategy, you will bring a results-driven approach to event planning and execution, ensuring alignment with our broader business and marketing objectives. You will be responsible for maximizing the return on investment (ROI) of event-related initiatives through meticulous project management, seamless coordination, and an acute attention to detail. Success in this role requires a deep understanding of how strategic events contribute to brand positioning within the environmental consulting industry. You will leverage your expertise to craft experiences that elevate Anchor QEA's influence, foster meaningful connections, and reinforce our commitment to innovation and thought leadership in the field.

Responsibilities:



  • Develop and execute a comprehensive conference and event strategy that aligns with Anchor QEA's Strategic Plan, brand, business objectives, and industry-leadership goals.
  • Own the end-to-end planning and execution of all conferences, client workshops, and corporate events, ensuring seamless alignment with company priorities and industry presence.
  • Create and manage detailed event timelines, budgets, and logistics, proactively mitigating risks and ensuring maximum ROI.
  • Lead all event logistics, from venue selection, contract negotiation, and vendor coordination to on-site setup, staffing, and post-event debriefs.
  • Handle every detail of event execution, including registration management, travel coordination, audiovisual needs, catering, branding elements, and attendee engagement.
  • Drive cross-functional collaboration, effectively communicating event strategy, facilitating kick-off meetings, and leading post-event evaluations.
  • Manage extensive communication across multiple teams, stakeholders, and vendors, ensuring alignment, timely updates, and seamless coordination for all events.
  • Source, negotiate, and manage vendor and supplier relationships, ensuring quality, cost efficiency, and seamless event execution.
  • Personally manage on-site execution, overseeing setup, troubleshooting issues, and ensuring a high-quality attendee experience.
  • Ensure branding and messaging consistency across all event-related materials, presentations, and digital or print collateral.
  • Track, reconcile, and report financials for all events, including setting up the correct project numbers, tracking expenses with accounting, ensuring all involved parties have accurate financial details, and conducting monthly budget-to-actual reconciliations.
  • Monitor and report event performance, tracking key metrics, generating reports, and providing insights for continuous improvement.
  • Stay ahead of industry trends and innovative event solutions, optimizing event impact, engagement, and operational efficiency.
  • Exhibit exceptional attention to detail, adaptability, and problem-solving skills in a fast-paced, deadline-driven environment.
  • Provide regular progress reports and maintain thorough documentation of all event-related activities, ensuring clear visibility into budget management and event execution.



What Are We Looking For?

Ideal candidates will have the following:



  • 10+ years of professional experience in marketing with a minimum of 5 years of experience leading corporate conferences and events
  • Bachelor's degree required in a related field
  • Proven ability to develop and implement event strategies that align with business objectives and enhance industry leadership.
  • Strong organizational skills with the ability to manage multiple events simultaneously, create detailed timelines, and ensure flawless execution.
  • 5+ years of experience in budget development, cost tracking, and financial reconciliation to maximize ROI for events Strong written and verbal communication skills to engage diverse audiences, facilitate cross-functional coordination, and maintain branding consistency Experience collaborating with internal teams, external partners, and high-level stakeholders Experience in a fast-paced, deadline-driven environment effectively managing shifting priorities and unexpected challenges AEC experience preferred

Salary and Other Compensation:



  • Salary Range: $90,300- $101,300
  • Annual bonus
  • Other potential bonus types: billable time bonus, spot bonus, milestone anniversary bonus, receiving professional license/certification bonus, peer-reviewed publication bonus, employee referral bonus



Base Level Benefits for Regular Full-Time Positions:



  • Healthcare: medical, dental, vision, basic life and AD&D insurance
  • Paid Company and Floating Holidays: 7 paid company and 2 floating holidays annually
  • Vacation: 2 weeks accrued paid vacation based on length of service. Vacation may vary by level.
