GENERAL SUMMARY: Acts as the President/Chief Executive Officer's (CEO) chief administrative professional, providing high-level administrative support to the CEO and other senior executives as assigned. As a trusted partner to senior leadership, this person plays a vital role in managing executive priorities, handles confidential Board of Trustees (BOT) communications, and ensures seamless coordination of meetings, travel, and special events. PRINCIPAL JOB FUNCTIONS: 1. *Commits to the mission, vision, beliefs and consistently demonstrates our core values. 2. *Presents a positive image of Bryan Health at all times; treats patients, visitors, physicians and staff with care, concern, courtesy and confidentiality; responds quickly and appropriately to customer requests. 3. *Works cooperatively with personnel within the department and others outside the department; helps coordinate staffing needs within the department; responds quickly to requests for assistance. 4. Communicates and interacts appropriately with a wide range of organizational and community representatives. 5. *Prepares, proofreads, and distributes executive-level documents, communications, and presentations. 6. Serves as the primary liaison for inquiries directed to the CEO and designated executive(s), managing communications with discretion and tact. 7. Continuously looks for, suggests and implements improvements after discussion with supervisor. 8. *Responsible for the CEO and other assigned executives' incoming phone calls, calendars, correspondence, scheduling of meetings, and travel arrangements. 9. *Responsible for maintaining the annual calendar and scheduling all meetings and logistics for the Bryan Health Board of Trustees (BOT) and various BOT committees as assigned. 10. *Prepares correspondence and materials and maintains appropriate documentation for BOT members. 11. *Attends and takes minutes at BOT and committee meetings as assigned. 12. *Prepares meeting agendas for BOT and committee meetings and coordinates and completes the mailing of board meeting packets. 13. *Serves as the primary administrative lead for planning two multi-day BOT retreats per year, collaborating with third-party facilitators and vendors to coordinate event logistics. 15. *Assists BOT members with arrangements for BOT education, such as conference registrations, hotel reservations, etc. 16. *Responsible for preparing and distributing weekly senior leadership team meeting agendas. 17. *Prepares, records and maintains CEO filing systems, including electronic and hard copy records. 18. Maintains professional growth and development through seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise. 19. Participates in other meetings, committees and department projects as assigned. 20. Performs other related projects and duties as assigned. Essential Job functions are marked with an asterisk "*." . REQUIRED KNOWLEDGE, SKILLS AND ABILITIES: 1. Knowledge of modern office practices, principles and methods. 2. Knowledge of general bookkeeping and accounting principles and procedures. 3. Knowledge of computer hardware equipment and software applications relevant to work functions. 4. Skill in professionalism, discretion and exceptional organizational and communication. 5. Skill in operating office equipment to include telephones, computer terminals, copiers and calculators. 6. Ability to communicate effectively both verbally and in writing. 7. Ability to exercise initiative and considerable judgment in answering inquiries and referring to other organizational or community resources. 8. Ability to maintain extensive filing and record systems. 9. Ability to compile and present information in an organized manner. 10. Ability to prioritize work demands and work with minimal supervision. 11. Ability to exercise courtesy and professionalism in receiving office callers and visitors. 12. Ability to maintain confidentiality relevant to sensitive information. 13. Ability to maintain regular and punctual attendance. EDUCATION AND EXPERIENCE: High school diploma or equivalency supplemented by two (2) years of college coursework required. Minimum of three (3) years of increasingly responsible experience performing executive administrative support functions required. Experience working with BOT and BOT communications required. Prior administrative support experience in a hospital environment and event management is preferred. OTHER CREDENTIALS / CERTIFICATIONS: Nebraska Notary Public required or must minimally meet the requirements to become a Notary. PHYSICAL REQUIREMENTS: (Physical Requirements are based on federal criteria and assigned by Human Resources upon review of the Principal Job Functions.)
