The division includes several key areas: One Stop Student Services (which integrates the Office of Financial Aid and the Registrar's Office), the Office of Graduate and Undergraduate Admissions, and the Center for Pre-College Programs.
The Assistant Director of the One Stop at RU-N will oversee daily operations, staff supervision, and service delivery to ensure students receive integrated, efficient support for financial aid, registration, and related services. |

Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Associate Director of Operations. The One Stop Student Services Center (One Stop) at Rutgers University-Newark represents a newly integrated and coordinated cross-functional service in the areas of financial aid, student accounts, and registration. The central principle of the center is to create a "single point of service" to improve student service processes, and allow for efficient, seamless and integrated levels of service.
The Associate Director of Operations for the One Stop Student Services Center ("One Stop") at Rutgers University-Newark will report to the Director of the One Stop.
The Associate Director will provide leadership in the newly integrated cross-functional service areas of registration, student accounting, and financial aid. The Associate Director will work with the Director and Team Leads to foster a customer-focused, service oriented environment - organizing initiatives to inform the work completed within the One Stop, ensuring that each team member has the requisite tools to be successful in their role, and prioritizing student support in all decision-making. The Associate Director will be knowledgeable about all student benefits and functions across the Offices of Financial Aid, Registrar, and Student Accounting, Billing and Cashiering and support the One Stop team's development in said areas. The Associate Director will identify and anticipate student enrollment issues, resolve or establish a viable and timely plan for resolution, and follow-up on agreed upon plans. The Associate Director will leverage objective data to organize areas for opportunity and propose solutions to enhance operational efficiencies and support. Central to the One Stop is promoting a progressive and simplified student experience, and a culture that supports customer service, student satisfaction and retention. Primary responsibilities of the Associate Director include hiring, coaching, supervising and evaluating staff, promoting a high level of customer service, and overseeing operations and workflow management of the One Stop. The Associate Director will also prioritize attention on especially sensitive student challenges and problem-solve, connecting with campus resources, to ensure the best student outcomes possible. The Associate Director will work collaboratively with the One Stop Director and Team Leads on project development/management, resource planning, efficiency improvement, and related initiatives. This individual will oversee One Stop-wide committee efforts to support assessment and quality assurance, student response and reference resources for the team, community outreach and outward-facing media, team engagement, training and onboarding of new and existing staff, student colleague planning and support, and other partner-unit driven collaborative efforts.
This position is responsible for and not limited to the following:
- Developing, managing, collecting and analyzing key performance indicators, and producing statistical reports on individual and organizational performance/trends based on transactions (in-person, online, email, phone, etc.)
- Developing, implementing and maintaining initiatives/programs to identify historic trends, staffing needs, impact on resources and future forecast trends
- Ensuring adequate staffing levels to meet customer service expectations; conduct process analysis through evaluation of work processes and customer satisfaction levels, and recommend improvements
- Monitoring communication channels to ensure inquiries and requests are processed in a timely manner
- This position requires experience in conducting/managing sophisticated analysis of complex data and translating results
- Monitoring employee quality and service standards and work with the staff regarding individual performance and overall department achievement of service and quality standards He/she will assess, initiate, plan and coordinate daily metrics and reporting to identify unresolved cases, exceptions or escalated issues
- Continuously define, refine and implement processes, procedures, and policies that drive productivity and results
- Additionally, the Associate Director will work collaboratively with the Director of the One Stop, student services central offices, other campus one stops, co-location offices, and key internal and external members of the campus community to cultivate business methodologies and strategies to improve the quality of One Stop to further enhance the students' educational experiences and retention initiatives
- The Associate Director will assist with budget planning, allocation of resources, and planning for the needs of the One Stop

Qualifications
Minimum Education and Experience |
- Requires a bachelor's degree in a related field, or an equivalent combination of education and/or experience
- A minimum of three to five years of relevant student services experience with progressively responsible supervisory, management, and leadership roles
- Requires computer literacy in industry standard software
- Requires excellent communication skills; and strong skills in planning, leading, and organizing

Preferred Qualifications |
- Master's degree in higher education administration or related field
- Five to seven years of supervisory/management and leadership experience
- Five to seven years of experience in a customer-service focused unit providing student services at an academic institution
- Experience working at the Rutgers, The State University of NJ or a similar multi-campus university
- Experience in a one stop service model, financial aid, registrar and/or student accounting
- Demonstrated experience leading large, complex enterprise-wide projects and change initiatives
- Knowledge of student information systems (including but not limited to Oracle Student
- Financial Planner, Salesforce CRM, Perceptive Content, HESAA, COD, NSLDS, SRDB)

The Assistant Director, in collaboration with the Director of One Stop and
OIT, will develop unified forms and electronic systems to enhance the virtual and physical student services. In collaboration with other campus one stop partners, the Assistant Director will assist with developing the brand identity of the one stop student services center, this includes publications, online student forum listserv, staff listserv, social media campaigns, and website to enhance communications with students and staff. Must display knowledge of processing and technological applications related to student enrollment services that enhance successful program development and administration.

- Datatel, Banner, PeopleSoft, Federal & State Applications, Educational Tools etc.
