DESCRIPTION

Reporting to the Director, Gift Services, the Manager, Gift Fund & Revenue Records manages all UC San Diego gift and private grant funds in the Advancement donor database, overseeing the analysis, creation, maintenance, and review of gift funds for the UC San Diego Foundation and The Regents. The position requires extensive interaction with faculty, senior administrators, and development staff to provide policy guidance, resolve complex issues, and ensure compliance with UC policies and accounting principles. Key responsibilities include supervising staff in gift fund database management, overseeing pledge payment documentation and tracking, maintaining records management systems, implementing retention policies, and leading process improvements. The role demands strong analytical skills, independent judgment, and expertise in gift fund policies to effectively manage relationships with campus partners while ensuring accurate and timely fund establishment, documentation, and departmental communication.

Uses skills as a seasoned, experienced professional with a full understanding of industry practices and organizational policies and procedures; resolves a wide range of issues in imaginative and practical ways. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for achieving solutions. The incumbent works closely with departments within Advancement, on campus and at UCOP, including Gift and Foundation Accounting, Gift Policy Administration, Donor Stewardship, other Advancement teams, campus Cashier's Office, UCOP Business Resource Center, and various other campus departments. Contacts are both internal and external to the department.

QUALIFICATIONS
  • Proven exceedingly strong research and analytical skills; must be able to analyze information and complex, multi-faceted problems and situations in order to develop strategies for problem resolution and program planning.

  • Proven ability to adopt the standards and processes of quality service as a work philosophy. Proven ability to identify, develop, and implement process improvements utilizing various technological tools and programs and creative thinking to bring about change.

  • Proven organizational and leadership skills; ability to effectively direct and supervise professional staff with the ability to train, motivate and lead a diverse workforce, resolve conflicts, provide constructive criticism and progressive discipline as needed; promote an inclusive and positive work environment.

  • Demonstrated ability to understand and use complex policies and procedures. Extensive related experience with a not-for-profit organization.

  • Proven ability to pay close attention to detail with a high degree of accuracy and the ability to proofread work carefully. Demonstrated skill in handling heavy workload with frequent interruptions and changing priorities

  • Proven interpersonal skills with peers throughout the organization; strong service orientation and critical thinking skills; and attention to detail. Proven ability using organizational skills to multi-task in a high volume environment. Ability to interact with a wide range of people within the community and the UC system, using a high degree of diplomacy, tact, and a high-quality service attitude.

  • Ability to independently gather required information to organize, and perform financial analysis assignments. Exceedingly strong knowledge of database logic and data processing standards and techniques.

  • Thorough knowledge of finance policies, practices, and systems.

  • Proven ability to effectively present information verbally and in writing in a clear and concise manner.

  • Proven ability using spreadsheet and database software for complex financial analysis, fiscal management, and financial reports. Strong proficiency in the use of MS Office suite of products, electronic mail, the Web, business computer applications, and other software adopted as the standard for Advancement with the expertise to utilize on-line databases and other software to retrieve, restate and compile up-to-the minute documents and reports.

  • Knowledge of CAE/CASE/NACUBO standards of management reporting of private support in institutions of higher education.

  • Ability to adapt to changing priorities. Proven ability to prioritize projects and workflow, and to use independent judgment to make decisions regarding daily operations.

  • Ability to function as a member of a team.

  • Thorough knowledge and understanding of internal control practices and their impact on protecting University resources.

  • Demonstrated knowledge of a charitable fund-raising foundation's operations, missions and goals.

  • Extensive experience in exercising discretion and judgment and in maintaining the security of confidential and sensitive information and materials.

SPECIAL CONDITIONS

  • Must have access to reliable transportation.
  • Effort outside of the normal 40-hour workweek may occasionally be required.
  • Fiscal & Calendar Year End closing is a critical business period during which vacation requests may not be approved

Pay Transparency Act

Annual Full Pay Range: $79,200 - $143,400 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $37.93 - $68.68

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
