Job Summary:

The Coordinator, Corporate, Industry and Foundation Partnerships provides essential administrative and operational support to the Corporate, Industry and Foundation Partnerships team, assisting with grant writing, proposal submissions, deck creation and general coordination tasks. This role ensures a smooth workflow within the team by managing data, organizing documents, and supporting communication efforts, enabling the leadership and partnership team to focus on strategic relationship-building and revenue growth.

Main Responsibilities:

  • Assist with the preparation, writing, and submission of grant proposals and reports as well as managing portal submissions, information requests, and reconciliations.

  • Assist in creating and maintaining proposals, sponsorship decks, and engagement materials.

  • Support the coordination of schedules, meetings, executive briefings, backgrounders and communication for the team, including the VP, AVPs and Directors.

  • Maintain and update CRM systems and databases to ensure accurate tracking of partnerships, grants, and stewardship activities. Run weekly and custom reports.

  • Support preparation and organization of partnership agreements, benefit fulfillment documentation, and stewardship materials.

  • Support the tracking of partnership deliverables, deadlines, and reporting requirements to ensure timely completion.

  • Collaborate with cross-functional teams to gather necessary information for proposals, reports, and partner communications.

  • Assist in coordinating events, recognition activities, and stewardship outreach.

  • Create and maintain industry-related resources and reporting tools, including the annual partnership reporting and funding audit, company/therapy snapshot, treatment pipeline tracker, and developing new materials as needed to support Society priorities.

  • Manage finance-related needs for corporate, foundation and industry accounts by maintaining accurate Salesforce records and partnering closely with Finance on invoicing, reconciliation, budget tracking, and reporting efforts.

  • Manage administrative tasks such as expense tracking, document filing, and correspondence related to corporate partnerships.

  • Support VP, AVPs and Directors by assisting with prospecting activities, including research, outreach coordination, and lead tracking to help identify and engage potential opportunities.

What We're Looking For:

  • Relevant experience in supporting fundraising teams or administrative support. Familiarity with pharma a plus.

  • Strong organizational and project management skills with excellent attention to detail.

  • Experience supporting partnership outreach or fundraising efforts, including research, proposal submission and reporting.

  • Proficient in Microsoft Office Suite and comfortable learning CRM or donor database systems.

  • Ability to research and synthesize information on companies, CSR trends, and industry data.

  • Excellent written and verbal communication skills; experience drafting proposals and/or marketing materials a plus.

  • Strong interpersonal skills and ability to collaborate with internal teams and external partners.

  • Ability to manage multiple priorities, meet deadlines, and adapt to shifting priorities in a fast-paced environment.

  • Familiarity with event coordination or campaign logistics is a plus.

  • Interest in corporate social responsibility, nonprofit partnerships, and donor engagement.

Location Requirements

  • Remote - Flexible Location

  • Work is primarily performed remotely, however, when possible and necessary, teams meet in person to conduct the business of the organization and build team relationships.

Compensation | Benefits:

The estimated hiring compensation range for this role is $48,000-54,000. Final offers will be based on the candidate'sgeographic location, consider career experience and may vary from this range due to these and other factors.
