About the Job
Bargaining unit considerations begin on August 19, 2025 and ends on August 26, 2025. The hourly pay range is $23.62 - $27.56. The schedule is typically 40 hours per week, Monday - Friday with some nights and weekends required depending upon events schedule.
Position Overview: The Theatre Arts Office Manager is a key support position within the Theatre Arts & Dance Department within the University of Minnesota. The Theatre Arts Office Manager works collaboratively with senior leaders, faculty, staff, undergraduate and graduate students to support the Theatre Arts programs in carrying out business, communications, and projects.
Appointment Details: This is a 100%-time, 12-month, continuous labor represented position, represented by AFSCME Clerical Unit 6. This position is mostly in person with room for remote flexibility up to 8 hours a week.
Job Duties/Responsibilities:
Financial Processes Assistance (20%)
- Working with faculty, staff and students, gather necessary information and paperwork for financial documents processing.
- Assist faculty in gathering necessary documentation for post award grants.
- Ensure required documents have upper level approval from CLA Fiscal, Office of the General Counsel, Real Estate Office, etc.
- Emburse (reimbursement system) Expert Navigator assisting department with questions and processes. Assist with all required financial forms.
- Work with Fiscal Teams to ensure UMN and CLA fiscal policies are adhered to.
- Process check requests and contracts for payment.
- Explain financial forms, processes, and policies to department faculty and staff.
- Maintain and update administrative forms and documents.
- Create and process rental agreements.
- Other financial duties as assigned.
Office Manager (25%)
- Serve as the first point of contact for Rarig Center Theatre Arts program answering phone, email, and in-person inquiries.
- Provide tours of the facilities.
- Provide clerical assistance for faculty, staff and students.
- Order office supplies.
- Maintain department copiers/printers.
- Maintain inventory of technology equipment/computers; ensure public spaces are kept clean and orderly; coordinate recycling and paper shredding containers, maintain select department email listservs, maintain storage areas, assist in office moves, maintain loading dock permits and parking vouchers, ensure mailboxes are updated, update Theatre Arts People Pages web presence.
- Other office manager duties as assigned.
Event Planning & Coordination and Recruitment (40%)
- Coordinate calendar for department events and enter department events in University calendar, provide assistance on logistics such as travel, hotel accommodations for visitors.
- Coordinate department events (scheduling, location, communication, food/beverages, A/V needs, etc) for events such as spring awards ceremony, graduation ceremonies, new student orientations, workshops, community engaged events; coordinate local arrangements for faculty searches including hotel, schedules, airfares and meals, meetings.
- Assist Arts Quarter Region with event support.
- Recruitment duties including assisting with recruitment preparation in coordination with faculty and staff for various regional site visits, may include national travel to various recruitment event (less than 5%), assist in gathering/ordering materials for recruitment events; other event planning and recruitment duties as assigned.
Assist Department Administrator (5%)
- Assist Department Administrator with a myriad of duties including but not limited to monthly budget reports, faculty account summaries, grant applications, collection of Student Ratings of Teaching and course syllabi.
- Work collaboratively with the Dance Program Office Manager.
Graduate Program Coordinator (MA/PHD and MFA) (5%)
- Main contact for inquiries about graduate admissions; assist with application process; enter decisions for students into SLATE; maintain graduate students files; assist with travel arrangement for prospective students; assist in orientations.
Theatre Arts Programs Assistant (5%)
- Assist theatre arts programs with scheduling, minute taking, attending program meetings as necessary,
Qualifications
Required Qualifications
- High School Diploma/GED
- Four (4) years of related office and administrative experience
- Previous financial or accounting experience
- Previous event planning experience
- Training/education may be substituted for up to two (2) years of experience
- Demonstrated computer experience in Microsoft Office Suite and Google Suite
- Advanced experience in Microsoft Excel
- Customer service experience/skills
- Ability to work independently and as part of a team
Preferred Qualifications
- Strong verbal, written, and interpersonal communication skills
- Demonstrated experience communicating with and providing service to faculty, employee groups, students, and visitors from diverse backgrounds
- Experience coordinating several projects simultaneously
- Experience multitasking and prioritizing workload while maintaining attention to detail
- Effective organizational, time management, and problem solving skills
- Experience working in an academic setting
- Ability to draft correspondence, memoranda, newsletters, manuals etc.
- Experience with administrative software: UMReports, PeopleSoft, Gradtracker or similar
- Demonstrated initiative and willingness to go the extra mile to provide outstanding service.
- Attention to detail, positive attitude, and proactive nature
