Founded in 1953, Hudson Valley Community College (HVCC) located in scenic Upstate NY is a multi-campus College with locations in Troy and Malta New York. In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement.
RESIDENCY REQUIREMENTS: Candidates must have been legal residents of New York State for at least FOUR months immediately preceding the date of the test. Pursuant to subdivision 4a of Sec. 23 of the Civil Service Law, preference may be given to successful candidates who have been legal residents of the municipality to which the appointment is to be made for at least FOUR months preceding the date of the written test.
This is a provisional appointment. Selected candidate will need to sit, pass and be eligible on the next available Rensselaer County Civil Service Exam for Program Assistant in order to be considered for permanent appointment.
MINIMUM QUALIFICATIONS: Associate's Degree from a regionally accredited or New York State accredited college (OR) High School Diploma or possession of a High School Equivalency Diploma and two (2) years of clerical experience in a position involving public contact or customer service functions in a non-retail setting (OR) An equivalent combination of training and experience as defined by the limits above.
DUTIES AND RESPONSIBILITIES: The Program Assistant reports to the Assistant Director of Workforce Development or their designee, and performs these duties:
1. Provides clerical and paraprofessional assistance to the Office of Workforce Development (WD)and Community Education staff.
2. Welcome anyone who enters the office, inquires the nature of their business and either accommodates the request or directs the guest to the appropriate WD employee.
3. Answers the WD office main phone number. Inquires the nature of the call and either accommodates the request or forwards the call to the appropriate WD employee.
4. Monitors the WD departmental e-mail, ensures all messages have been answered by the end of each business day.
5. Manages the Customer Relationship Management database for the department.
6. Organizes and maintains electronic and physical files for the WD office.
7. Receives and distributes incoming mail. Prepares and dispatches outgoing mail.
8. Prepares, prints and mails WD certificates to all students who successfully complete a WD course.
9. Prepares instructor packets.
10. Maintains an adequate supply of WD department commonly used forms.
11. Coordinates with the Technical Assistants on the record-keeping aspect of closing out all completed classes.
12. Assists the Technical Assistants with registering walk-in students.
13. Assists the Technical Assistants with marketing and outreach duties.
14. Assists the Assistant Director by recommending when office and other supplies need to be ordered.
15. Performs other duties as assigned.
This is a full-time 12-month, 40-hour work week position with an hourly rate of $23.50. Start date is immediate.
