In order to be considered an applicant for this position you must meet the minimum qualifications as stated in this announcement. HVCC does not support Visas. Applicants must currently hold an unrestricted employment authorization to work in the United States and appointment will be contingent upon completion of a background check.
Minimum Qualifications:
Associate's Degree and work experience in non-profit support, fund-raising and/or event planning; strong organizational skills, excellent interpersonal and writing skills, and a customer service mindset; demonstrated attention to detail, ability to analyze and synthesize data, ability to successfully manage multiple priorities, and ability to relate to people at all levels within the College and community. Proficiency in all Microsoft Office applications required; competency with SCT Banner or equivalent donor management system preferred.
Nature and Scope of Duties:
The Technical Assistant - Office of Institutional Advancement reports to the Chief Advancement Officer/ Executive Director, Foundation or his/her designee and performs the following duties:
1. Coordinates front office operations to include answering phones, sorting and tracking incoming mail to be in compliance with internal controls, preparing outgoing mail and large mailings, maintaining files, scheduling meetings, monitoring inventory and ordering supplies, making photocopies, and other related and general office tasks.
2. Assists in preparation of departmental documents including typing/layout of relevant reports and general correspondence.
3. Coordinates the administrative operations of the Office of Institutional Advancement including purchase orders, requisitions, mileage and credit card reconciliation.
4. Supervises student workers, and prioritizes and coordinates student workers' assignments.
5. Assists with the preparation of proposals and presentations.
6. Coordinates on-campus events, such as donor visits, meeting arrangements, dedications, and other events as assigned by the Chief Advancement Officer/Executive Director. Serves as liaison in planning and coordinating Institutional Advancement/Foundation and Office of the President or other departmental collaborative events. Assists in preparations, logistics, and day-of tasks for all Foundation events; including keeping track of registrations.
7. Prepares and delivers communications to internal and external parties.
8. Serves as liaison to Foundation Board and its committees, keeping minutes, preparing and disseminating meeting packets and minutes and meeting scheduling.
9. Assists the Chief Advancement Officer/Executive Director with scheduling meetings and travel, preparation of proposals and presentations, processes travel and expense reports and other general support functions.
10. Provides helpful, courteous and excellent customer service to anyone interfacing with the Foundation.
11. Serves as liaison to campus community: Graphics and Printing, IT, Special Events office, Marketing & Communications, Physical Plant, Mailroom and Central Receiving, as well as other departments.
12. Assists with Raiser's Edge programs for data entry.
13. Performs other related duties as assigned.
This is a 12-month, Full-Time position with a salary range of $41,000-$43,000.
