Acara Solutions is seeking an Accounts Payable Supervisor - Property Management for our client in Buffalo, NY!
In this role, you will oversee the accounts payable processing for property management and utilities, ensuring accuracy in coding, data entry, and payment processing. You will also assist with managing and mentoring a team of AP Analysts while serving as a key liaison between property management personnel, executive management, leasing teams, billing staff, and vendors.
We are seeking qualified candidates with:
- Hands-on experience in accounts payable
- Strong knowledge of property management and multi-state sales tax requirements
- Strong leadership, communication, and interpersonal skills
Here's what you'll do:
- Review coding of invoices before processing payment. This includes verification of applicable tax/capital improvements and ensuring the invoice is complete prior to check preparation.
- Retrieve and review leases for common area maintenance (CAM) and non-CAM verification and to make tenant charge back decisions.
- Advise and discuss with head of AP Property Management and property managers costs related to specific items and reason for expense. Ensure accuracy and obtain approval.
- Provide support to the Property Management Group in reviewing pricing, costs, budgets, expenditures, and projections.
- Provide for the development, training, and evaluation of department staff. Oversee work of other employees and assist in completion of daily tasks.
- Review procedures and efficiency and implement processes to make these better.
- Assist in pursuing rebates and/or refunds from vendors or utility providers where applicable. Contacting utility commodities where and when applicable.

Required Skills / Qualifications:
- Minimum of 5 years' experience in accounts payable across all aspects of invoice processing, GL coding, and payment.
- Minimum of 5 years' experience in a property management, construction, or real estate setting.
- Minimum of 2 years' experience supervising and training accounts payable personnel.
Preferred Skills / Qualifications:
- Associate's Degree in Accounting, Finance, or Business a plus.
- Proficiency with Microsoft Excel and other accounting software tools.
- Experience working with workflow systems (Nexus strongly preferred).
- Demonstrated ability to review and interpret lease language.
- Knowledge of multi-state sales tax rates and accruals.
- Understanding of qualifications for capital improvements.
- Ability to interact effectively with executive management, property managers, and vendors.
