The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Associate Dean of Faculty Affairs of the Fu Foundation School of Engineering and Applied Science (SEAS), the Assistant Director of Faculty Affairs and Faculty Development supports key faculty affairs and faculty professional advancement functions for the SEAS Dean's Office, including faculty development programming; full-time faculty searches, recruitment, and hiring; the drafting and collection of nomination materials for faculty awards; and the administration of faculty awards processes. The Assistant Director serves as a knowledgeable resource for SEAS faculty and faculty recruits on university benefits, and faculty affairs policies such as sabbatical eligibility and retirement procedures. This position collaborates with SEAS's nine academic departments to establish and maintain programs and opportunities for faculty development, aiming for continuous improvement of, and faculty excellence in, instruction, research, innovation, and professional development. The incumbent will research, analyze, and develop solutions to various issues; demonstrate good judgment in selecting methods and techniques for obtaining solutions; and develop new programs, policies, or procedures for possible implementation.

Responsibilities




  • (30%) Faculty Advancement and Development: Evaluates areas of faculty development need and organizes faculty advancement workshops and events relevant to different stages of the faculty lifecycle. Oversees planning and preparation for marquis faculty events such as the New Faculty Orientation, Faculty Welcome Back event, and Faculty Retirement Dinner. Collaborates with Department Chairs to draft and collect nomination materials for School and University faculty awards. Manages the review and submission of Provost's Office faculty award applications; archives completed applications; manages reminders to faculty and Department Chairs about upcoming award deadlines. Manages and updates Faculty Affairs websites with current information. Collaborates with School and University offices, including Outreach, the Provost's Office, and Research.



  • (20%) Faculty Recruitment and Hiring: Partners with academic departments on drafting full-time faculty job postings compliant with University policies. Manages and reviews position drafts submitted to Columbia's Academic Search and Recruitment (ASR) module on Interfolio for compliance with EOAA requirements. Provides ASR technical support to faculty and department staff. Generates and analyzes ad hoc reports from Interfolio as requested by senior Faculty Affairs personnel. Provides operational support as needed to faculty search committees; advises on search process requirements and best practices. Manages academic affairs searches, recruitment, and appointment/promotion processes, including records documenting these processes. Liaises with departments to ensure timely background checks for faculty hires. Assists Associate Dean with drafting sensitive correspondence and resources for faculty and staff, including offer letters, startup MOU's, policy and procedure documentation, agreements, and forms.



  • (20%) Faculty Benefits: Serves as a knowledgeable resource to faculty recruits and current faculty on Columbia faculty housing policies, off-campus housing benefits and resources, and private school tuition benefits. Refers faculty to University offices as needed, including Office of Work/Life and Columbia Residential. Manages faculty housing supplements, including payment processes and record-keeping. Has primary responsibility for screening and securing housing options for lateral faculty recruits. Attends monthly Housing Priorities Committee meeting on behalf of the Dean's Office. Assists the Associate Dean with responding to ad hoc requests and troubleshooting special issues regarding housing and schooling benefits.



  • (10 %)Faculty Policy and Procedure Consultation: Advises faculty on policies and procedures related to outside interests and employment, sabbaticals, leaves, teaching buyouts, the SEAS enhanced research program, and other University and School programs and policies. Manages Faculty Senate elections. Collaborates with the Development Office on named professorship nominations. Supports the administration of the Faculty Annual Summary process. Draft memos to the Provost's Office related to special requests.



  • (10%) Faculty Transition Management: Assists the Associate Dean with managing incoming full-time faculty transitions to Columbia and departing faculty transitions out of Columbia. As needed, facilitates conversations with Department staff, the International Students & Scholars Office (ISSO), the Sponsored Projects Administration (SPA), the Provost's Office, the Dual Career Office, and the Office of Work/Life. Draft MOUs and other documentation related to new faculty arrivals and departures. Counsels faculty on retirement processes and options. Refers retiring faculty to HR Benefits as needed. Draft retirement agreements and emeritus request letters.



  • (5%) Conflict Resolution Assists the Associate Dean with investigating Hotline reports related to academic personnel. Enforces School and University policies related to academic personnel.



  • (5%) Other: Performs other related duties and special projects as assigned.


Minimum Qualifications




  • Bachelor's degree and a minimum of 3-5 years of relevant experience in academic administration and/or human resources required, or an equivalent combination of education and experience. Master's degree strongly preferred.



  • Excellent writing and oral communication skills, rigorous attention to detail, and a strong collaborative mindset are required.



  • Must be able to multitask in a high-volume environment within demanding timeframes, prioritize and organize workflow, establish and achieve realistic timelines for workplace deliverables, and function with autonomy and self-direction to achieve goals and objectives.



  • Strong organizational and project management skills required, and the ability to independently coordinate, organize, plan, and execute meetings and conferences.



  • Must be able to cultivate and maintain strong relationships with other administrative units and departments to ensure efficient operations.



  • Ability to think both independently and collaboratively to creatively and effectively solve problems is required.



  • Fluency with the Microsoft Office suite is strongly desired.



  • Experience with conflict resolution in a professional setting preferred.
