Job Description

MU TITLE: Program/Project Support Coordinator I

LOCATION: 524 Hitt Street - Columbia, MO

MU Extension 4-H Center for Youth Development provides leadership and expertise with developing communities of young people across Missouri who are learning citizenship, leadership, and life skills. 4-H is publicly supported by county, state, and federal partners, as well as private resources to enrich the learning experiences of both youth and adults. Position Overview

4-H is a youth development organization that centers around three mandate areas of STEM, Healthy Living, and Civic Engagement. Missouri 4-H currently reaches an audience of approximately 58,000 youth across Missouri with the aid of over 10,000 adult volunteers.

This is an in-person position located on the University of Missouri-Columbia campus and will work closely with 4-H faculty and staff.

Key Responsibilities of the 4-H Program Project Support Coordinator

4-H Club Management

  • Develop and update continually policies and procedures regarding the Chartering of new 4-H Clubs in the State of Missouri.
  • Provide leadership in the state on how to charter, initiate and manage 4-H Clubs, including Club and volunteer manuals and trainings.
  • Oversee charter and re-charter process. Use information provided by counties on Club Information Sheets to add clubs to 4HOnline, print charters and order new club kits.
  • Provide leadership to MO 4-H staff, volunteers, and academics on how to foster diversity and inclusion in the 4-H Clubs, including all the delivery modes.
  • Facilitate the collection of end-of-year paperwork including Charter Checklist and financial forms.
  • Work with the Associate 4-H Program Director to rescind charters from clubs that do not comply with club policies.
  • Provide leadership for the 4-H Club Task Team made up of 4-H staff (Specialists, Educators and YPAs). The goal of this committee is to develop program delivery systems and policies that allow ALL youth to be involved in 4-H across the state so that 4-H is a prominent part of youth development transcending the notion that 4-H is "just" a community club, SPIN club or just an activity to do at school.
    • The 4-H staff selected to work on the Task Team will have extensive experience in all of our delivery modes (Community Club, SPIN Club, In-School and After-School and Military) to act as an advisory group.
    • The committee will offer advice on ways to make policies and programs fit all 4-H program modes of delivery to be inclusive to all 4-H club models.
    • The committee will innovate ways clubs of different delivery modes can work together.

State Awards 4-H Recognition and Awards

  • Provide leadership to the state Awards Task Team to create/revise/adopt award applications, selection criteria, and procedures to be accessible and all-inclusive of 4-H members regardless of the 4-H program mode.
  • Integrate technology to the awards application and selection process.
  • Lead effort to collect information on award regional Level 1 and 2 winners, and work with support staff to expedite payment for Level 1 4-H Camp and Level 2 Teen Conference/State Congress scholarships and awards.
  • Lead and coordinate Level 3 or equivalent judging process.
    • Facilitate the collection of forms, and organize a team of judges, who will each be responsible for certain sections.
    • Collate scores and judge's comments.
    • Communicate with applicants (or their 4-H specialist) who have been chosen to move on to the next stage of the process.
    • Schedule interviews and be on hand during interviews to answer questions from applicants and judges. (Technology may be utilized to communicate with staff and judges if necessary.)
    • Inform applications if they have been selected as delegates for National 4-H Congress.
  • Oversee application and selection process for National 4-H Conference.
  • Submit annual request to the 4-H Foundation to support projects related to the Club Management.
  • Coordinate Key Award winner recognition at the Fall 4-H Foundation Banquet.
  • Submit annual awards request to the Missouri 4-H Foundation to cover Level 1 and Level 2 Awards, Key Award, National 4-H Congress and National 4-H Conference.

4-H Enrollment System Coordinator

  • Prepare 4-H projects, club and managers for each year's enrollment startup. (rollover)
  • Add and remove managers at all levels. New hires and terminations.
  • Manage member records
  • Provide support to County Faculty and Staff. Including but not limited to:
    • Payment and approval issues
    • County/Regional event creation
    • Building and running custom reports for membership and events
    • Entering member and group participation information
    • Volunteer screening submission questions and errors
    • Members requiring special needs
    • Members that require multiple family enrollment
    • Club setup and chartering
    • Special project approval for self-determined and over the recommended limit
    • Setup county discounts and funds
    • Setup county dues and late fees
  • Provide input to the department fiscal officer regarding enrollment and event fees processed through checks and credit cards.
  • Assisting with reports needed by the department to give statistical information to university, state and national.
  • Work with 4-H management and support team and programs to resolve issues and recommend new features that require access beyond our institution.
  • Ongoing trainings of 4-H field staff on use of program.
  • Online learning system for volunteers and members.

Other Assigned Duties

  • Conduct all activities in accordance with the Civil Rights Acts, Title IX, Rehabilitation, Americans with Disabilities Act and local, state and federal regulations.
  • As with all positions, involvement with other duties and responsibilities may be expected to support the mission and purpose of MU Extension.

LEADERSHIP RECEIVED AND EXERCISED

Receives instruction, guidance, and/or direction from more senior level roles. This position reports to the 4-H Program Director. May mentor (or supervise as needed) others in completing program/project duties. Allocates work and provides subject matter guidance to other team members.

Shift

Monday through Friday, 8:00 a.m. - 5:00 p.m.

Ability to travel and to work flexible hours, including some evenings and weekends, is required to fulfill assigned responsibilities.

Minimum Qualifications

An Bachelor's degree or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge and skills can be acquired is necessary.

  • Experience working for youth organizations including 4-H

Anticipated Hiring Range

Salary Range: $20.00 - $24.00 per hour
